The Minutes of the Sports Advisory Committee Meeting held Monday 10 December 2018 are reproduced as follows for the information of Councillors.

RESOLVED that the Minutes of the Sports Advisory Committee meeting held Monday 8 October 2018 be accepted as a true and accurate record of the proceedings of that meeting.
Business Arising:
1. Bilambil Sports Complex - Western Fields - Quotes to reinstate car park - Matt McCann
The cost estimates below have been obtained to remove and reinstate the Bilambil West Sports Complex car park (approx. size 2200m2) which received serious damage as a result of the March 2017 flood. Unfortunately car park areas were not covered under Council’s flood insurance and there is no available budget to undertake the needed repairs, therefore funding will be sought through relevant grant applications.
The following cost estimates are all GST inclusive.
Removal and preparation of existing car park surfaces $8500 Two coat seal with blue metal chippings $11.00 per M2 $36,300 Asphalt coating as per existing $300.00 per tonne or $120.00 per M2 $121,000 Reinstatement of car parking surface in Concrete finish (@150mm thickness,
with footing/ thickening beam across western side of car park area) $256,036

2. Follow up with Gillian Austin after attending the strategic meeting with Gold Coast Football.
The proposed meeting was cancelled. Gillian will provide the committee with an update report after attending a rescheduled meeting.

3. Annual report of Detailed Participation Numbers of Individual Sports Clubs - Matt McCann.
All clubs will be requested to provide accurate registration numbers for the last three years.
This will help the SAC identify trends in sporting growth and decline, and the information provided will be utilised to develop strategies to assist with sport club sustainability.
AGENDA ITEMS:
1. NSW Office of Sport Child Safe Workshop
Matt McCann will liaise with the NSW Office of Sport to arrange a suitable venue and date to hold the Child Safe Workshop for all licenced sports clubs to attend.

2. Sports Advisory Committee Questionnaire Results
To date half of the questionnaire responses have been received. The questionnaire will be resent to the committee members who have not yet had an opportunity to respond. Once these have been received the results with be tallied and shared at the next meeting.
The intent of the questionnaire is to look at opportunities to make meetings more inclusive for all committee members and to make sure we are achieving our goals and objectives by providing the best outcomes for the Tweed Sporting Community.

3. Updated Sports Field Assets Reserves Trust Fund Form
The Sports Field Assets Reserves Trust Fund Form has been updated and renamed the Sports Field Licence Fee Fund. Some minor changes to the form were made to assist the applicant. The committee has been emailed a copy of the new form.

4. Dates for Sports Advisory Committee Meetings in 2019
The committee discussed and agreed to move its bi-monthly meetings from the second Monday of the month to the first Monday of the month. The dates for 2019 meetings will be forwarded to all committee members.

5. Safe and happy holiday season
Matt and Tracey thanked the committee members for their time and effort throughout 2018 and wished everyone a safe and happy holiday season.

GENERAL BUSINESS:
Dion Andrews suggested that 2019 committee meetings be held at various sports clubs around the shire inviting guest speakers from the licenced club/s to attend meetings. The committee was looking forward to the opportunity of sharing information with clubs and getting a better insight into the operations and challenges faced by individual sporting clubs. The committee members all agreed with this approach for meetings being held in 2019.
Matt McCann will cancel the re-occurring meeting room bookings at Banora Point Community Hall and make arrangements for the first meeting of 2019 to be at the clubhouse at John
Rabjones Oval Murwillumbah. An invitation will be sent to Murwillumbah Cricket Club, Vulcans AFL Club and Tweed Hockey Association.
Next Meeting:
The next meeting of the Sports Advisory Committee will be held 4 February 2019.
The meeting closed at 7.10pm.
