Scopia desktop video conferencing service definition

To provide Massey staff with a free, easy to use desktop video conferencing service for virtual meetings and collaboration sessions anywhere, anytime.
Service requirements
Each meeting participant requires a computer with a recommended webcam and headset connected to a high speed network or broadband.
Scopia video conferencing sessions must be booked in virtual meeting rooms on the KAREN Video Conferencing Bridge by a meeting convenor holding an iView account.
We would expect Meeting Organisers to apply for a free iView account to be able to freely book and host Scopia video conferencing sessions with other staff or external parties for legitimate University business reasons. But any Massey staff member may apply for an iView account and this may be desirable for regular users of Scopia.
Booking
It is expected that a Meeting Organiser will be appointed for each meeting who will coordinate all activities below in conjunction with the Meeting Participants.

• Books meeting
• Invites all participants
• Ensures that if any of these roles are not covered by meeting organiser themselves, that the meeting chair, secretary and moderator who will be present at the meeting are aware of the details for joining and obtaining support at the meeting.
Meeting Participants
• Purchase the recommended equipment for desktop video conferencing
• Install and Test Scopia at least a day before their first meeting
• Join the meeting at the appointed time advised by the meeting organiser
Support
• Self help Scopia and iView user guides and Frequently Asked Questions (FAQs) regarding Scopia are available from the Massey ITS Video Conferencing Scopia Help web pages which staff are encouraged to visit first.
• Additional information is available from the web site of the Advanced Video Conferencing Centre (AVCC) who are endorsed by REANNZ to provide second tier support for Scopia and the KAREN Video Conferencing service (KVCS)
• For information on the effective chairing of video conferencing meetings and the use of video
conferencing for Video Linked Teaching, please refer to the Teaching and Learning Video Conferencing web site or contact CADeL for training and further assistance.
• Massey staff may request assistance from the ITS Help Desk during normal business hours from 8:30am to 5:00pm Monday to Friday as per the agreement that member institutions of KAREN are bound to provide first level support for Scopia.
