Student Management application — new functionality
Purpose
To inform schools about:
• new functionality in the QCAA’s Student Management application, which holds student
enrolment, learning and results in the new Queensland Certificate of Education (QCE) system
• due dates for key processes and data entry requirements.
Background
The QCAA’s Student Management application was launched in March 2018 as part of the
transition to the new QCE system. Beginning with the 2019 Year 11 cohort, Student Management will eventually replace the Student Data Capture System (SDCS) and the Senior Learning
Information Management System (SLIMS)/Registration and Banking System (RABS).
Student Management is being rolled out in stages, to align with the new processes and procedures for the new QCE system.
Information and web links
Stage three of Student Management is now available. In addition to minor bug fixes and cosmetic enhancements, stage three includes the following functionality:
• ability to input results for units 1 and 2 of 4-unit subjects (General, Applied, Applied Essential) into a single student learning account and by a multiple student (group) transaction. File import functionality is anticipated in February
• ability for schools that are International Baccalaureate (IB) providers to create subject offerings and enrolments for IB diploma, via single student learning account and multiple student
(group) transactions. File import functionality is anticipated in February
• updates to Short Course results entry to input results by a multiple student (group) transaction
• ability to remove units from a student’s enrolment, via their learning account and where no results has been recorded for that unit.

Additional Term 1 updates
Future releases in Term 1, 2019 are anticipated to include:
• ability to project QCE eligibility, based on student enrolments, to be displayed in a student learning account and a summary for a selected group/cohort
• ability to enroll multiple students into a VET qualification
• ability for school RTOs to automatically enroll a student or group into the offered competencies when enrolling in a qualification. This is based on the school RTOs scope of registration identifying the competencies they will offer
• updates to file exports to pre-populate with student data for file imports for registrations, enrolments and results.
Due dates for data entry
Due dates for data entry will be in early 2019, as noted in the 2019 SEP calendar at https://www.qcaa.qld.edu.au/downloads/senior/sep_calendar_2019.pdf.
Access and support
Student Management is accessed via the QCAA Portal at www.qcaa.qld.edu.au/portal and will appear as a tile for users assigned the Student Management Administrator role. Access
Management Organisation Administrators should assign the Student Management Administrator role to appropriate staff.

What you need to do
• Ensure your school or RTO uses Student Management for the 2019 Year 11 cohort and future cohorts.
• Ensure staff are aware of the new functionality in Student Management and the due dates for processes outlined in the 2019 SEP calendar.
• Continue to use SDCS/SLIMS for the 2019 Year 12 cohort.
