MASSEY UNIVERSITY INSTITUTE OF EDUCATION (MUIE) GRADUATE RESEARCH FUND (GRF)

CONDITIONS GOVERNING THE FUND

AND INSTRUCTIONS FOR COMPLETING THE APPLICATION FORM ELIGIBILITY

The Massey University Institute of Education (MUIE) Graduate Research Fund provides support to postgraduate students for their research activities. Staff members who are undertaking graduate research may apply for support. However, since other avenues exist for funding staff research, priority will be given to graduate students who are not employed by the University.

Application may be made for support for activities directly related to research. Such activities include library searches and interloans, transcription of interviews, travel to and from the research site, consumables, data analysis.

The Fund is very limited in size and applicants should be realistic in making their requests. The maximum grant available for an individual under the Fund is:

a) Masterate: $800 for 90 credit thesis

$1000 for 120 credit thesis b) Doctorate: $2000 for 240 credit thesis

$4000 for 360 credit thesis (a maximum of $2000 can be applied for per year) Students who have an abstract or paper accepted for a national (New Zealand) conference may, in addition to other GRF funding, apply for one grant-in-aid per year, of up to $500. Conference attendance must be at an approved national conference directly related to the field of research and the amount is at the discretion of the Institute Director. A recommendation must be received from the Supervisor of the student.

There are three funding rounds each year. Applications close on 30 April, 30 July, and 30 October.

Funds awarded must be claimed within the same calendar year (i.e. applied for in 2013, must be claimed in 2013).

The GRF Committee’s decision is final. No appeals will be considered.

INSTRUCTIONS FOR COMPLETION OF THE GRF APPLICATION FORM

GENERAL: Applications must be completed on the form provided. The availability of space in each box is indicative of the amount of information to be provided in that particular section.

Upon completion of the Application form, the applicant is to arrange for the form to be signed by his/her supervisor. The applicant will then forward the form to the Secretary, MIUE Graduate Research Fund Committee, Sue Richards (S.V.Richards@massey.ac.nz) who will arrange sign off by the Institute of Education Director.

It is the Applicant’s responsibility to ensure that the Secretary receives the completed form by the closing deadline. If for logistical reasons it is practical for the supervisor to submit the application, please let the secretary know so we can look out for it. All applications will be acknowledged via email upon receipt by the secretary.

Box 1: Complete this box as if it were a “full postal address.” “Name” should be that of the postgraduate student.

Box 2: Project title should be the same as the thesis or report title.

Box 3: Describe the project, its objectives, and its research methodology. The description should be sufficiently detailed to provide background information for the Committee. Also explain how GRF support would contribute to the project.

Box 4: Summarise the budget request for the current year only. List requests in order of descending priority. You should demonstrate clearly how you arrive at the cost of each item, for example, “$100 consumables” is not considered adequate. Rather, the number of items to be purchased and their unit cost should be shown. This box is not to be used to justify the project.

The following notes are provided for assistance.

• Travel: Applications for domestic travel will be considered where it is necessary to visit research sites, libraries and other repositories of information. Travel to the University for supervision purposes is not funded.

Travel costs should be based on $0.77/km.

Example: 2.5 km to site each way for 1 week = 25km times for 4 weeks = 100km @ $0.77/km = 100 x $0.77 = $77.00

• Tape transcription costs should be based on 3 hours of transcription time per 1 hour of tape- recorded time at a cost of $25.00 per hour of transcription.

Example: 4 interview hrs is 12 transcription hrs @ $25/hr = $300.00.

• Library searches and interloans are normally made to a maximum of $100 (itemise or provide information about the materials).

• Consumables include items such as paper, printing and stamps. Provide full information e.g. the number of pages, copies or stamps.

Box 5: Provide a justification for all items listed.

Box 6: List any other funding sources applied to and/or funding received.

Box 7: List GRF support received in the past. State the year, the amount funded and the purpose of the funding.

Box 8: Provide a complete record of study for the degree to which this application refers.

Box 9: Indicate whether the Human Ethics Committee has approved this project (please attach copy of MUHEC letter), or if this is not a relevant consideration. The Graduate Research Fund Committee may make funding conditional on approval by the Human Ethics committee.

Box 10: Applicant to sign and date the application before forwarding it to the supervisor.

Box 11: Supervisor to sign and date the application and provide a brief comment in relation to the application.

PLEASE ENSURE THAT ALL REQUESTED ATTACHMENTS ARE COMPLETED AND ATTACHED TO THE APPLICATION

Steps in this process are:

1. GRF Application form received then presented to committee to seek approval for funding.

o If you are sending invoices/receipts as your supporting documents please ensure that you keep the originals to submit with your Claim Form if funding is approved.

2. Applicant advised outcome of their application.

3. Successful applicants are sent a one page Claim Form to complete and return.

o To allow prompt payment please carefully follow the instructions outlined on the Claims Form.

4. Once your Claim Form has been received, checked and approved it will be submitted to the payments office.
