Job Title: Senior Officer, Office of Co-curricular Activities (OCA) Purpose
To assist the team in various administrative and communication tasks related to clubs and other events. Also, to support in preparing various promotional materials and event write-ups using graphics and creative designs.
Organizational Relationships Position Type: Regular Reporting to: Manager, OCA Hours of Work: 40 hours per week Functional Relationships:
1. Internal Contacts: Students, Faculty, Administration Staff
2. External Contacts: External stakeholders (parents, employers, vendors, etc.) 1. Key Accountabilities
1.1 Specific Duties & Responsibilities
1.1.1 Communicating with students, faculty, administration staff, and other
departments regarding various activities of the Office of Co-curricular Activities.
1.1.2 Attending queries and providing necessary information to students, faculty members, and administration staff in person, over the phone, and through email.
1.1.3 Checking bills/vouchers and preparing a summary of expenses for specific programs.
1.1.4 Preparing requisitions for procurement taking particular requirements from the team and processing for approval.
1.1.5 Supporting in organizing regular programs, seminars, training, and workshops by doing various tasks, i.e. emailing, printing, reporting, documenting, and other administrative duties.
1.1.6 Designing basic communication materials, i.e. flyers, posters, social media posts/notices, etc. for various events and club activity purposes.
1.1.7 Organizing student volunteers who may, from time to time, be assigned to support specific events of the OCA.
1.1.8 Implementing surveys to collect relevant data to enhance service quality and produce reports as required.
1.2 General Duties & Responsibilities
1.2.1 Administrative Duties relating to all matters that the membership of a university entails, including cross-institution-wide activities.
1.2.2 General Responsibility to undertake all other duties as directed by the line manager.

2 2. Qualifications
2.1 A bachelor’s degree with good academic credentials from any reputed institution.
2.2 Some experience in people engagement, marketing, and communications-related works
3. Knowledge, Skills & Aptitudes
3.1 Proficiency in MS Office and Excel is required; the ability to extract and analyse data from surveys or Google Sheets is desirable
3.2 Ability to design and produce creative communication materials using graphic design software
3.3 Strong interpersonal skills and adept at building relationships with different stakeholders
3.4 Excellent verbal and written communication skills both in Bangla and English 3.5 Excellent organizational skills
3.6 Ability to work collaboratively with a diverse group of colleagues is essential 3.7 Flexible approach to work and positive response to changing requirements;
willingness to work outside office hours, including weekends and evenings, if required on rare occasions.
