3. Since, we need to develop a system for New Century for its operation and future growth we have option of choosing one of the following information

systems:-a. Transaction Processing System

Transaction processing systems process data generated by day-to-day business operation. It is a good system which protects the integrity of data in our organization and therefore if single element of a transaction fails, the system doesn’t process the rest of the transaction.

b. Business Support System

Business Support System provides job-related information support to users at all levels of a company. They help replace manual tasks as payroll processing. We need to collect all the information from every process and enter them in to our system to get valuable information about our business which helps make decisions for our company’s growth.

We can have all the available information of 3,500 patients and their history of transactions with our business to analyze and make important decisions and increase the sales in future. Susan Gifford could perform her job more efficiently with recording patient’s information in the system which could be used efficiently by the manager for efficient decision making in future. Lisa Sung would be equally benefited by this system to make appointments lists daily and to make reminder calls to the patients. Hence, the system would benefit New Century Health Clinic in being efficient in the daily tasks that they have to perform and also would help better decision making for future growth of the business.

c. User Productivity System

User Productivity Systems include all the levels of technology that improves productivity which include e-mail, voicemail, video conferencing, database management, desktop publishing, high speed internet, and company intranets.

4. New Century should consider mostly the Internet-based solutions among B2B and vertical and horizontal system packages. The reason behind selecting internet-based solutions in the system development processes is that most of, the users, who are one of the important key components of information systems are accessible to internet and they demand the services as appointment setting and paying bills online. They would want to have their medical history online and it is convenient for them to remember when their next visit is due if they get alert in emails or from the website of the company. They can check out the updates of the company and available time frame they can visit the clinic. Also, many prospective patients would be exposed to the company promotions online and the company could substantially increase the growth in the market by taking many new patients. Therefore, if I were an IT consultant for New Century Health Clinic then I would most definitely consider internet-based solutions in the system development processes.

1. Associates should try to learn pertinent facts about your background, qualifications, and areas of knowledge. They should ask about similar work I have done in the past and ask me for references from previous clients. In the process, they should decide if I am a person they and their office staff could work with.

I should try to get a feel for the situation — if the associates have realistic expectations and the necessary commitment to follow through with the proposed project. I should learn enough about what needs to be done to determine if this is something I want to do and feel qualified to do.

2. The operation appears to be typical of a professional practice of this size, and no technical problems are apparent. There is no enough information to reach a conclusion about economic feasibility, but it is known that the staff is facing a constantly growing workload, which certainly will increase administrative costs. At this point, it seems likely that reducing this paperwork will result in cost saving and increased productivity. In all three areas (operational, technical, and economic), the project appears to be feasible.

Further understanding needs to be obtained about the current office systems and a definition of the scope and constraints of the proposed system. This is a critical issue, especially with a major new system that will change the way the clinic operates.

Then they would meet with Anita Davenport, possibly more than once. They might suggest that Dr. Jones sit in on at least the beginning of the first meeting with Anita to help define the scope of the investigation and to discuss New Century’s office systems in general. In subsequent meetings with Anita, it will be necessary to get a general idea of the record keeping done in the office and learn about the general office procedures. If written procedures exist, ask for copies. When sufficient information is available, prepare a report detailing the findings and stating a recommendation for further action. 4. These are the steps in obtaining information in the preliminary investigation.

Step 1

The first step is to understand the problem or opportunity. You should develop a business profile of New Century’s operations to determine which departments, users, and business processes are involved.

Step 2

The second step is to define the project scope and constraints. At this point, you want to define the specific boundaries, or extent, of the project. Along with defining the scope of the project, you need to identify and classify any constraints, which might involve hardware, software, time, policy, law, or cost. A clear definition of project scope and constraints will avoid possible misunderstandings between you and New Century.

Step 3

The third step is to perform fact-finding. To do this, you have to examine organization charts, conduct interviews, review current documentation, observe operations, and carry out a user survey. When conducting interviews during the preliminary investigation, you should interview people who have a broad knowledge of the system and can give you an overview of the business processes involved. Depending on the situation, you might talk to new Century staff members to obtain more detail about day-to-day functions. Step 4

The fourth step is to determine feasibility. At this point you will have analyzed the situation, defined the project scope and constraints, performed fact-finding, and estimated the costs and benefits of the new system. Now you can review the results and make an initial determination about operational, technical, and economic feasibility. Step 5

prepare a rough estimate for the overall project, so New Century can understand the full cost impact and timetable.

Step 6

The sixth step is to present your results and recommendations to New Century. You will want to prepare a written report and deliver a brief presentation.
