Excursion Study 2023 Japan

First Meeting: April 28th, 2023

Excursion Study in Brief

Study Excursion is an annual program conducted by ITS Global Engagement to give international

exposures for ITS students. By having this program, ITS students are expected to construct global

perspectives and enrich the understanding of multicultural points of view.

ITS IUP students will get scholarship amount Rp 3.000.000. This funding support can be used for

offline international exposures program such as study excursion, exchange, internship, and joint supervision for final project.

To be eligible for 3 credits towards claiming

International Exposure, students are required to participate in the entire program, including the pre- program, on-site program, and post-program

activities. Failure to do so will result in students being ineligible to receive the 3 credits for International Exposure.

General terms and conditions.

ITS GE determines the cost for the (tentative) destination countries Each country has a different estimated cost

Students determine the country for SE, based on the list that has been provided by ITS GE

Students pay in full according to the estimated cost that has been determined by ITS GE from the list that has been provided for SE

Students collect a statement letter that stating they are willing if the funds that have been paid are not returned if the student unilaterally does not participate in SE

The reimbursement scholarship procedure is as follows: collect SPJ by attaching a boarding pass, pictures, immigration stamp, any other related documents (to be confirmed)

Passport must be active/valid for at least 6 months as of July 2023

PCR Test fee are the responsibility of each student. (The PCR procedure adjusts to the policy applied at the time of departure)

Visa processing is carried out in groups per SE destination country, but it is still the responsibility of each student Scholarship Scheme:

ITS GE offers a scholarship to IUP students who participate in this program. The scholarship amount is Rp 3.000.000, which can be obtained through reimbursement by submitting a letter of responsibility (SPJ) along with boarding passes, photographs, immigration

stamps, (and any other related documents that soon to be confirmed) to ITS GE.

ITS GE also offers a scholarship to Regular students who participate in this program. The scholarship amount is Rp 3.000.000 for European destinations and Rp 2.000.000 for Japan, which can be obtained through Funding Support scheme.

International Exposure obligation: IUP Students must complete every agenda held by ITS GE to get 3 credits score (SKS)

To fulfill this 3 credits score (SKS), this program will be conducted in 3 phases,

All participants must participate in this scheme to get 3 credits score (SKS) so that this

program can be counted as International Exposure

3 Phase to get 3 credits (SKS)

Phase 1: Pre Program

Batch 1: Society 5.0 Hosted by Kumamoto University

Batch 2: Short Program Hosted by Soka University, to-be confirmed Phase 2: On-Site Visitation

Batch 1: Visiting Shibaura Institute of Technology and participating within the programs arranged by SIT

Batch 2: Visiting several universities in Tokyo (Waseda University, Keio University, Tokyo Institute of Technology, etc.), and some public places in Tokyo

During the on-site program, ITS GE provides students with tasks or worksheets that they are required to complete.

Phase 3: Post Program Sharing session in FS2

Deposit Payment

To secure their participation in the program, students are required to pay a deposit of Rp 5.500.000,- which covers accommodation, program fee, and emergency fund.

This payment is Compulsory.

All students must fill out the statement letter to follow every ITS GE Regulations The letter must be submit no later than May 12th 2023

Group Allocation

We have distributed you into 6 (six) groups.

Group distribution is determined by the readiness of students' passports, and cannot be challenged.

However, ITS GE reserves the right to adjust the distribution based on students' payment status.

*We will update any information regarding your excursion there, including itinerary, accommodation, etc.

We need 6 Captains an Vice Captains for each group, who wants to be volunteer?

Lead the discussion about which flight to take from Indonesia to Japan and from Japan to Indonesia. Consider various factors, such as budget, schedule, and convenience, to make an informed decision.

Determine the method of booking the flights. Explore different options, including buying independently through travel apps like Traveloka or Tiket.com, or through a travel agent. Choose the most efficient and cost-effective method based on the group's preferences.

Take notes and report to ITS GE if any of their group members will depart or arrive separately. Communicate with ITS GE to inform them of any changes to the group's travel plans and ensure that all members arrive and depart safely.

Determine the money exchange method. Research the best way to exchange currency and inform the group about the options available.

Lead and coordinate the group while in Japan. Ensure that everyone follows the itinerary, knows where to go, and stays on schedule. Will also be available to address any concerns or issues that arise during the trip to ITS GE.

Collect the task/worksheets of the group members. Ensure that everyone submits their assigned tasks on time and to the required standard. Provide guidance and support as needed to help everyone complete their work successfully.
