ASSESSMENT FINDINGS

Summary of Assessment Report of the RSPO Certification

Requests for official documents through the estate/mill office will need to go through the responsible manager/assistant who will make a decision as to whether the information can be released to the person requesting the information or document or can view it. Sample taken at Chenor Estate, Vendor Integrity Pledge signed by Pacat Emas Enterprise and Triang Leong Enterprise. On March 6, 2020, Health Assistant Tuan Sharifah Munaizzah conducted the final training and familiarization with the Code of Business Conduct for 146 Chenor Estate workers.

The estate's compliance with legal requirements is evidenced by licenses and permits which are inspected and which are renewed and kept valid. Chenor Estate has proper legal land documents consisting of 3 land titles with a total land size of 1,999,754 Ha. The estate management identified its boundary by identifying the boundary stones as per a map seen during the audit (Estate Boundary Stone Map).

As of the date of the audit, a total of 17 boundary stones have been identified on the Chenor property and are being maintained by management. During the field visit to the property boundary (Field P02A), there is no evidence of planting by property management that is beyond the legal boundary of the property. The list of contractors working on the Chenor estate has been updated in the FY 2020 List of Interested Parties document.

All FFB supplies from outside the unit of certification are from legal sources

During the audit, the auditor noted the 'seedling requirements for MPLAN 2020' where the estate has allocated a total of 20,923 seedlings to be ordered for replanting in the year 2021. All documents contain details such as the action to be taken, the responsible person and the state of implementation. The internal audit by the sustainability department and routine daily monitoring are part of the mechanism to monitor the consistent implementation of applicable procedures and SOPs.

The estate also organized regular training for all employees in the estate operations to ensure that employees were fully informed and understood the SOP. A total of 1 Major NC and 8 OFI have been reported and all findings have been closed as documented in the Internal Audit Report. In addition, the estate is visited annually by Plantation Advisor (PA).

As mentioned, the management has held a management meeting at the estate to discuss the issues raised during the internal audit for the RSPO and agronomist visit/Plantation advisor. Actions to be taken have been recorded and the status of the issue has also been maintained. The latest management review meeting was held at Chenor Estate, while the meeting at Jentar Estate was held on 23/09/2019.

The assessment has been carried out in consultation with the mill management and other staff, contractors and workers, as well as visits to the field, the mill, offices and line installations. The workers with whom we cooperated are familiar with the conditions, which are clearly defined in the employment contract.

Based on the sample at Estate and Mill, no difference in monthly wages, no forced overtime and salary paid before the 7th of each month. The electricity deduction is based on the use which the deduction scheme has been agreed in writing by both parties. The estate and mill provide facilities such as recreational places, religious buildings, community hall, various shops, food stall, electricity and water.

The unit of certification respects the rights of all personnel to form and join trade unions of their choice and to bargain collectively. Where the right to freedom of association and collective bargaining are restricted under law,

The treated water is for domestic use at Jentar Estate and the water analysis has been carried out annually and found to have no trace of E.coli and total coliform. There is a grocery store near the mill and property and workers can freely shop and report to management if they find the price unfair. All property activities (spraying, fertilizing, harvesting, maintenance work) are fully managed by workers on their payroll.

The town hall at Jentar Estate was held by the Estate Manager on August 10, 2020 for 170 employees of the Kerdau Clubhouse. An example of child labor policy can be found in clause 5.7 Human Rights of COBC Bulletin No. 8: Protection of the Rights of Children. We strive to promote the well-being of children and protect them from any form of abuse or exploitation, including child sex tourism, child trafficking, child labor and child pornography.

Appropriate PPE provided is based on the information in the SDS and CHRA assessor's recommendation. Viewing latest chemical register for all estates and it is confirmed that no class 1A and 1B chemicals have been used in the estate industry. Based on the recommendation given by OHD in the CHRA report for Chenor Estate, recommendation was given to carry out annual medical surveillance for all workers who worked under station Foremen.

On the Jentar Estate, the OHD recommended in the CHRA report that health surveillance be implemented for all workers working at the spray station. The record in the health control confirmed that no female workers are employed in the pesticide business. Foliar nutrient analysis is commonly used in diagnosing oil palm fertilizer requirements.

No planting of oil palm on steep slopes (>25 degrees) in the property according to the company policy signed by Mohamad Helmy Othman Bash, Group Managing Director dated December 2, 2019. So the plan in both properties to improve the efficiency of the use of ​​fossil fuels and to optimize renewable energy, which is incorporated into the Environmental Management Plan in the respective property. The compliance of Sime Darby Plantation Bhd's non-certified management units with respect to the rules of partial certification was determined through self-assessment in accordance with the RSPO certification system clause 4.2.4. Sime Darby has achieved 34 management units in Malaysia and 24 management units in Indonesia that RSPO certified. The total management unit of Sime Darby Plantation Bhd is 34 in Malaysia, 25 in Indonesia and 1 in Liberia.

Sime Darby Plantation Bhd has informed the progress of the Time Bound Plan through the representative office in Indonesia. MUTU has considered that Sime Darby Plantation Bhd is in compliance with the RSPO requirements for the Limited Time Plan. The time-bound plan was reviewed and declared by the Indonesian representative of Sime Darby Plantation Bhd in September 2020 by the Chief Sustainability Officer.

MUTU has verified partial certification for Sime Darby Plantation Bhd's non-certified subsidiary, based on their time-bound plan. PT Mitra Austral Sejahtera (by Aksenta in March 2009) and Sime Darby Plantation Liberia (by RSPO approved assessors – Dr. SK Yap in 2011). Sime Darby Plantation Bhd sent a liability disclosure, including LUCA analysis, to the RSPO Secretariat on December 2, 2014 and the second revision on June 24, 2016.
