I. Call to Order

Undersecretary Gil S. Beltran, BAC Chairperson, as the Presiding Officer called the meeting to order at 2:30 PM determined the quorum in attendance.

II. Highlights of the Meeting III.

A. Introduction

Ms. Eusebia P. Guevarra, Officer-in-Charge of Procurement Management Division (PMD) introduced the Bids and Awards Committee (BAC) and BAC Secretariat members and acknowledged the presence of three prospective bidders from (1)The Brain System, (2) Eleksis and (3) Avid companies.

Furthermore, she discussed the schedule of activities, the technical and financial component requirements.

B. Approved Budget for the Contract (ABC): Php 8,000,000.00 Lot 1–Digital Video Display Presentation System: Php 4,250,000.00 Lot 2 –Audio Conferencing System: Php 2,000,000.00

Lot 3 –Lighting System: Php 1,750,000.00

C. Amendment/Change/Clarification

 For Lot 2, old speakers will be removed upon installation of 16 full range and 8 surface mount.

 End-user clarified that Tier 1 means being certified by the distributor of a particular brand as its official reseller.

 BAC reminded prospective bidders that DOF office is still open for inspection of existing digital video display presentation, audio conferencing and lighting system and its installation.

 Prospective bidders requested for a copy of ceiling plan for installation purpose, considering office security and privacy, the end-user said that he will ask first permission from the General Service Division (GSD) regarding the concern.
