Since these records are not centralized, there is no way to monitor document movements efficiently. A centralized information system seems to offer a solution, but the FDA processes its documents with constantly changing workflows. WADoTS is a workflow-aware document tracking information system capable of facilitating dynamic changes in FDA's document processing requirements and workflows.

The Special Problem entitled “WADoTS: A Workflow Aware Document Tracking System for FDA” prepared and submitted by Jose Louie Mark Z. Año in partial fulfillment of the requirements for the degree of Bachelor of Science in Computer Science has been examined and is recommended for acceptance. INTRODUCTION

All these departments including their extensions have the same function as the admin department. The speed of processing a document may depend on the departmental document overload on its way. To develop a workflow-aware system that can be customized to facilitate monitoring and tracking the status of documents being processed at FDA.

A centralized record of document movements allows relevant FDA personnel to easily locate a document by simply typing a keyword or identifier of the document they want to find. They would know where the bottleneck of document movement lies so that if they ever want to optimize workflow, they can have a base. The system is adaptable to adapt to constant change in document workflows.

A document record can only be edited or deleted if the document is still not read by the staff of the document's next destination. This article assumes that FDA IT staff have already built a system using the proposed system based on the desired system workflow provided by administrators.

REVIEW OF RELATED LITERATURE

The system is designed to improve management efficiency and help management make decisions. Researchers must enter their scientific research information into the system managed and marked by quantitative scientific research methods of Wuhan University of Science and Technology. When querying data, the system uses a data view that combines data in one table or multiple tables to speed up query speed and facilitate management [9].

But if a problem arises in any one of the two, it would mean that the company's daily operations are delayed and it may cause financial loss to the company. The database system targets four groups of users which are the salesmen, account staff, supply team and customers who will rely heavily on the system for their daily operations [13]. For such support to work, the WfMS must be aware of the overall progress achieved.

Its main objective was to increase administrative efficiency, the system has a built-in mechanism to reduce the loss of resources, staff time and workload. To calculate the costs of the activities of persons and facilities, the cost computer uses the entry and exit times of facilities or persons.

THEORETICAL FRAMEWORK

Offices in the technical supervision of the staff there in connection with the implementation of the aforementioned functions. It plans, directs, coordinates and evaluates the administration's overall administrative, technical, legal and public affairs. Responsible for the assessment of food, pharmaceuticals, traditional medicine, equipment, cosmetics and household products containing dangerous substances and their registration in accordance with the Act on Food, Medicines and Cosmetics, the Decree on Dangerous Substances and other laws.

It includes providing feedback on project progress to donors, implementers and project beneficiaries. Furthermore, these systems allow a business the opportunity to measure and analyze process execution so that dynamic and continuous improvements can be made [24]. System configuration is where the BPM System and the underlying system infrastructure are configured.

This type of system outputs information in a form that can be used at all levels of the organization [27]. The main goal of the language is to allow web developers to write dynamically generated web pages quickly [31].

RESULTS

An admin user could add, edit, and delete departments, as shown in Figure 5.5 to Figure 5.7. Administrators had the ability to add, edit, and delete accounts, as shown in Figure 5.11 to Figure 5.13. The first step was to set up the document type metadata, including the document type name and description (see Figure 5.15).

The next step was setting up the document type's workflow path, which also involves several steps. When a station was selected from the diagram, parameters of the document type were displayed in the left panels. Documents with an edited document type still had the latter properties that the document type had before the modification.

Figure 5.25 showed location, elapsed time, and progress percentage, which indicated the status of the document. To help the user select the correct document type, fromat and instances of a document type were viewed when the document type was selected.

DISCUSSION

Permissions are at the station level, meaning that all types of users at a specified station share the same permissions. There are three types of permissions in the system: read-only, read-write and create. Read-only is used as a reference, which can be considered, in the input value of parameter with read-write permission.

Create permission allows users to create a specific document, but it does not mean that the document will go directly to their document list. The document is sent from one department to another, strictly following the set workflow. A document cannot deviate from this and can only be removed from the path if it is deleted.

Percentage completion is calculated by finding the minimum total number of steps from the start date to the current location over the minimum total number of paths from the start date to the end date. When a document reaches the point where it will be archived, the document's required parameters and workflow are first copied to the archive and then deleted. When the document is already archived, it sends an email to the applicants that the document is complete.

Applicants can track where the document is currently located, which route it has taken and which route it may take. The occupancy of departments or stations is shown so that the applicant can get a rough estimate of the completion of the document. When a document has a problem and needs the requester's attention, the station user can send an email to the requester.
