Archive Team Meeting

March 11th, 2:30-3:30 pm Herrick Library Seminar Room 1. Policy Revisions

 Researcher Use & Registration

o We added the two repository names to the end of the form so researchers will know how to properly cite them.

o We agreed this policy is finalized (knowing that it may be tweaked in the future).

 Security & Access Policy

o John will create a draft policy

 Citation Policy

o John will create a draft policy

 Condition Report

o John reformatted the Mills College Condition Report. There are different forms for various formats of material. These will primarily be used when loaning material to other institutions but may be used locally as well, as needed.

 Graphic Design Elements

o John volunteered to add some graphic design elements to the policies to make them more visually appealing.

2. Umbrella Term

The Archives at Alfred University

University Archives, Herrick Library

New York State College of Ceramics Archives, Scholes Library

 Laurie will ask about having two Wordmarks created; one with just the main header and one with the two repository names

3. Storage of Photos

a. We talked about how each repository stores physical photographs.

4. Engineering Open House – Theme “Pioneers of Progress”

a. March 27, 12:30-2:30 pm

b. Prospective women engineers; we were asked to offer a 15-minute presentation on AU history and the engineering school; the visitors will be broken into smaller groups and the presentation will need to be given six times total.

c. Laurie sketched out a possible outline of topics to cover.

d. John, Laurie and Laura will schedule a separate meeting early next week to work out the details of creating the presentation and covering the actual presenting.

5. Updates on Projects, Etc.

 SCRLC grant

o John to schedule meeting with Joe Stahlman, director of the Seneca Nation Museum o John delivered the audiotapes to the company in Rochester on March 4th.

 Andrew Phelan Donation

o Andrew will drop off the material on March 16th.

6. AHA Display Planning

a. Laura attended the February meeting.

b. Planning for the display will be a future agenda item.

c. Laurie will get in touch with Jim Ninos to figure out what he’s thinking for an Alfred-related display and how we can work together.

7. Upcoming Meetings

 AHA – March 27, 10 am @ Crossroads Building.

 Roundtable – March 26, 10 am @ Crossroads Building.

 Next Archive Team meeting – April 8, 2:30 pm, Herrick Seminar Room

Items for the future:

 Collection Development Guidelines

o It will be helpful to look at other policies for examples. We want to add some background and context on each Archive at the beginning, noting that there are two Archives with different collections but they work together. Adding mission statements may be helpful as well.

 Review the University’s Records Retention Policy see if we have any suggested revisions

 How will we want the Archives to be represented when the libraries move to a single website

 Archive – Digital Projects Team:

o Digital photos from Athletics and Marketing

o Press releases and Alfred Today digital files for AURA (Brett has this as a to-do list item)
