PREFACE

The academic quality assurance of the Mathematics Department is a shared responsibility of the entire Mathematics academic community. To expedite the implementation of the Seminar and Thesis Examination for Students, the Department of Mathematics has prepared guidelines for the implementation of Organizing Seminars and Thesis Examinations in the form of Standard Operating Procedures Implementation of Seminars and Thesis Examinations.

The purpose of preparing the Standard Operating Procedure Implementation of Seminar and Thesis Examinations is to standardize the determination of thesis supervisors. With the hope that the Standard Operating Procedure Implementation Seminar and Thesis Exam that has been compiled can be understood and implemented properly by lecturers, administrative staff and students so that they can facilitate the teaching and learning process in the Mathematics Department.

STANDARD OPERATING PROCEDURE IMPLEMENTATION OF SEMINAR AND THESIS EXAM

A. Objectives

This SOP was made in order to standardize the implementation of seminars and thesis examinations in the Undergraduate Mathematics Study Program.

B. Scope and Related Units

In this activity elements of the academic community, including:

1. Dean

2. Head of Department

3. Head of the Undergraduate Study Program (KPS) 4. Head of Laboratorium (KaLab)

5. Thesis Supervisor 6. Board Examiners

7. Administration Staff / Administration Officer 8. Student

C. Related Quality Standards

The quality standard related to this SOP is Regulation of Rector Universitas Brawijaya No.1 of 2017 concerning Article 41 Quality Standards.

D. Terms and Definitions

The following are some of the terms used in the procedures for holding seminars and thesis examinations:

1. The dean is the Dean of FMIPA UB.

2. Head of Departmen is Head of Mathematics Department FMIPA UB.

3. KPS is Head of Undergraduates Study Program Mathematics Department FMIPA UB.

4. KaLab is Head of Laboratorium Existing laboratories in the Undergraduates Study Program Mathematics Department FMIPA UB

5. The thesis supervisor in question is a lecturer in the Department of Mathematics who is assigned the task of guiding students in the thesis completion process with the minimum requirement of having a functional academic position as a Lector with academic qualifications of Masters / equivalent, or Expert Assistant with Doctoral academic qualifications.

6. The Board of Examiners is the lecturers of the Mathematics Department or other parties who are given the task of testing students in proposal seminars, seminar results, and thesis exams. The Board of Examiners consists of 1 supervisor and 2 examining lecturers appointed by the Head of the Department with the minimum requirement of having an

academic functional position as Head Lecturer with academic qualifications of Bachelor or Lector with minimum academic qualifications of Masters, and Expert Assistant with Doctoral academic qualifications. The non-supervisory board of examiners can be appointed from the department / institution lecturer whose field of knowledge is in accordance with the student's thesis.

7. The administrative staff /TU are educational staff in the Mathematics Department of FMIPA UB.

8. The student is a student of the Undergraduates Mathematics Study Program in the Mathematics Department of FMIPA UB.

E. Procedure Order

E.1 STAGES OF THESIS PROPOSAL SEMINAR a. General provisions of seminar proposal thesis

1. Every student who has obtained a supervisory lecturer and carried out guidance can conduct a thesis proposal seminar (hereinafter abbreviated as a proposal seminar) after the student gets approval of the written Thesis Proposal Seminar signed by the Thesis Supervisory Lecturer (Form S-3).

2. The application process of the proposal seminar is carried out by the way students fill out the Proposal Seminar Registration Form (provided study program) enclosed with:

1) Thesis Proposal Script

2) Thesis Proposal Seminar Approval Form

3) Seminar Attendance Control Card at least 4 times 4) Guidance Card at least 4 consultations

3. Students submit the registration file to the Administrative Staff / TU Department of Mathematics.

4. The registration file as point 3 is submitted by the Administrative Staff / TU of the Department of Mathematics to the Head of Study Program.

5. Head of Study Program together with KaLab formed an Examiner Board Assembly consisting of at least 3 (three) people consisting of 1 (one) Supervisory Lecturer and 2 (two) examiners and one of them be Supervisor of the Board of Examiners (Form S-3a).

6. The list of Examiners is notified to students through the Administration Staff / TU of Mathematics Department.

7. The Students contact all members of the Board of Examiners to determine the schedule for the Seminar Proposal.

7 8. At the latest 4 (four) working days before the Proposal Seminar, the Board of

Examiners must have received a Thesis Proposal Manuscript.

9. Invitation for proposal seminar signed by the Head of Study Program / Head of Department / Department Secretary (Form S-3b).

10. If the submission of the manuscript exceeds 4 (four) working days and the board examining is not willing to carry out the proposal seminar as scheduled, the proposal seminar is rescheduled.

b. Seminar implementation of thesis proposal

1. The proposal seminar was held in an open forum attended by the Examiner Assembly, students whoseminar, an audience consisting of at least 5 students of the Ub Mathematics Department and other parties if deemed necessary. The seminar will not be held if attended by fewer than 5 students, unless the examiner commission agrees to continue.

2. Duration of execution time maximum: 2 hours.

3. Proposal Seminar is led by a moderator, in this case the student who becomes the moderator is a student of the Mathematics Department.

4. Seminar is held in 5 (five) stages, namely:

➢ Stage I : Presentation by student (maximum 15 minutes)

➢ Stage II : Questions and answers from audience (maximum 10 minutes)

➢ Stage III : Questions and answers by the Board of Examiners (each examiner maximum time of 20 minutes)

➢ Stage IV : The session to determine the results of the Proposal Seminar which was attended only by the Board of Examiners

➢ Stage V : Announcement of Proposal Seminar Results submitted by the Supervisor of the Board of Examiners front of student presenter proposal.

5. The Board of Examiners written assessment of student achievement in the Proposal Seminar (Form S-3c).

6. The results assessment of seminar written in Official Report of the Thesis Seminar result which are signed by the Board of Examiners (Form S-3d).

7. The Board of Examiners signs the Board of Examiners Attendance Form (Form S-3e).

8. The Board of Examiners signed the Request for Seminar Proposal Revision Request form (Form S-3f) and (Form S-3g).

c. Special provisions for the thesis proposal seminar

1. The attendance of students who are seminars and supervisors is absolute, in this case if one of them is unable to attend, the thesis proposal seminar is declared CANCEL and postponed according to the agreement.

2. The absence of examiners is regulated as follows:

a) If at the latest 1 (one) day before the seminar the examiner states that he cannot attend, the Head of the Study Program can appoint another lecturer as a substitute examiner lecturer.

b) If 1 (one) examining lecturer states that he cannot attend with notification of less than 1 (one) day, then the Head of the Study Program can appoint another lecturer as Replacement Examining Lecturer or the proposal seminar will still be held with a Board of Examiners totaling 2 (two).

c) If 2 (two) examining lecturers declare that they cannot attend with less than 1 (one) day's notice, the Proposal Seminar will be declared CANCEL and postponed according to the agreement.

d) The replacement examining lecturer as referred to in points a) and b) then acts as the examining lecturer at the Results Seminar.

d. Handling of Proposal Seminar Written Documents

1. All written documents are archived by the Administration Staff / TU Department.

2. The document in question is

a. Thesis Proposal Seminar Approval

b. Letter of establishment of the Thesis Proposal Seminar Examiner Council c. Invitation for Thesis Proposal Seminar.

d. Presence of the Board of Examiners.

e. An assessment form that has been filled in and signed by the Board of Examiners.

f. An Official Report of Thesis Proposal Seminar Implementation that have been filled in and signed by the Board of Examiners.

E.2 STAGE OF THESIS SEMINAR RESULT a. General provisions of the thesis result seminar

1. Students can carry out thesis research results seminars (hereinafter abbreviated as Results Seminar) after obtaining a written thesis result seminar approval signed by the thesis supervisor. Supervisors sign the Thesis Result Seminar Approval after the student gets approval for the seminar proposal revision from the Examiner Board.

9 2. The Seminar Results can be held as soon as 4 (four) weeks after the Proposal

Seminar

3. The application process of the Seminar Results is carried out by the way students fill out the Seminar Results Registration Form (provided study program) enclosed with:

➢ Thesis Script

➢ Thesis Seminar Result Approval (Form S-4).

➢ Guidance Cards at least 8 times attendance

➢ The revised proposal seminar form signed by the Board of Examiners.

6. The Head of the Study Program forms a Board of Examiners with personnel as the Board of Examiners at the Proposal Seminar.

8. The Students contact all members of the Board of Examiners to determine the schedule for the Seminar Result.

9. At the latest 4 (four) working days before the Seminar Result, the Board of Examiners must have received a Thesis Manuscript.

10. Invitation for proposal seminar signed by the Head of Undergraduates Study Program (Form S-4a).

11. If the submission of the manuscript exceeds 4 (four) working days and the examining panel is not willing to carry out the proposal seminar as scheduled, the proposal seminar is rescheduled.

b. Implementation of the seminar results

1. The proposal seminar was held in an open forum attended by the Examiner Assembly, students whoseminar, an audience consisting of at least 5 students of the UB Mathematics Department and other parties if deemed necessary. The seminar will not be held if attended by fewer than 5 students, unless the examiner commission agrees to continue.

2. Duration of execution time maximum: 2 hours.

3. Proposal Seminar is led by a moderator, in this case the student who becomes the moderator is a student of the Mathematics Department.

4. Seminar is held in 5 (five) stages, namely:

6. The results final assessment of seminar result written in Official Report of the Thesis Seminar result which are signed by the Board of Examiners (Form S-4c).

7. The Board of Examiners signs the Board of Examiners Attendance Form (Form S-4d).

8. The Board of Examiners signed the Request for Seminar Result Revision Request form (Form S-4e) dan (Form S-4f).

c. Special provisions for the seminar results

1. The presence of students conducting seminars and supervisors is absolute, in this case if one of them is unable to attend, the seminar results will be declared CANCEL and postponed according to the agreement.

2. The absence of examiner lecturers as specified in the Proposal Seminar.

d. Handling of Proposal Seminar Written Documents

a) Thesis Seminar Result Approval

b) Letter of establishment of the Thesis Seminar Result Board of Examiner c) Invitation for Thesis Seminar Result.

d) Presence of the Board of Examiners.

e) An assessment form that has been filled in and signed by the Board of Examiners.

f) An Official Report on the Implementation of the Results Seminar which has been filled in and signed by the Examiner Board

11 E.3 THESIS EXAMINATION STAGE

a. General provisions of Thesis Examination

1. Students can carry out a Thesis Examination after receiving a written Thesis Examination Approval signed by the Thesis Supervisor (Form S-5) and complete the administrative requirements for the thesis exam.

2. The Thesis Examination can be held as soon as 2 (two) weeks after the Seminar Result.

3. The application process of the Thesis Examination is carried out by the way students fill out the Registration Form (provided study program) attached with:

➢ Thesis Script

➢ Thesis Examination Approval (Form S-5)

➢ Akademic Transcripts

➢ Student Biodata (Form S-5a).

➢ Revision form for the seminar results signed by the Board of Examiners.

6. The Head of the Study Program forms a Board of Examiners with personnel as the Board of Examiners at the Seminar Result.

8. The Students contact all members of the Board of Examiners to determine the schedule for Thesis Examination. Board of examiners must have obtained

➢ Thesis Examination Script.

➢ Invitation for thesis examination signed by the Head of Undergraduates Study Program / Head of Department / Department Secretary (Form S-5b).

9. If the submission of the manuscript exceeds 4 (four) working days and the examining panel is not willing to carry out the proposal seminar as scheduled, the proposal seminar is rescheduled.

b. Implementation of Thesis Examination

1. The examination is held in a closed forum which is only attended by the Board of Examiners.

2. The maximum duration of implementation time: 2 (two) hours 3. The exam is chaired by the Supervisor of the Board of Examiners.

4. Seminar is held in 5 (five) stages, is:

➢ Stage II : Questions and answers by the Examiners Panel (each examiner maximum time of 30 minutes)

➢ Stage III : The session to determine the results was attended only by the Board of Examiner

➢ Stage V : Announcement of Seminar Results by the Supervisor of the Board of Examiners

5. The Examiner Board written assessment of student achievement in the thesis examination (Form S-5c).

6. The results of the Board of Examiners assessment are recapitulated in the Thesis Examination Recapitulation form (Form S-5d).

7. The results final assessment of the thesis examination written in Official Report Thesis examination are signed by the Board of Examiners (Form S-5e).

8. The Board of Examiners signs Attendance Form (Form S-5f).

9. The Board of Examiner signs the Thesis Exam Revision Request form (Form S-5g).

c. Special provisions for the

1. The presence of students who are going to the thesis examination and supervisors is absolute, in this case if one of them is unable to attend, then the thesis exam is declared CANCEL and postponed according to the agreement.

2. The absence of examiner lecturers is regulated as in the Proposal Seminar.

3. If the student does not conduct the Thesis Examination no later than 6 (six) months after the Results Seminar, the student must change the research topic, unless there is a reason that can be accounted for or at the policy of the Supervisory Lecturer and or The Head of Study Program.

d. Handling of Written Documents Thesis Exam

a) Approval of written Thesis Exam that has been signed by The Thesis Supervisor.

b) Letter of establishment of the Examiner Board by the Head of Undergraduate Study Program.

c) Thesis Exam Invitation.

d) Presence of the Board of Examiners.

e) Thesis Exam Assessment Form that has been filled out and signed by the Board of Examiners.

f) Recapitulation of Thesis Examination Assessment that has been filled and signed by the Supervisor of the board examiners.

g) An Official Report on the Implementation of the thesis examination which has been filled in and signed by the board examiner.
