Growers and millers provide adequate information to relevant stakeholders on environmental, social and legal issues relevant to RSPO Criteria, in appropriate languages and forms to allow for effective participation in
Senarut Estate meeting room, Muar River Estate Meeting Room and Bukit Pilah Meeting Room respectively. Participation of the external and internal stakeholders is recorded in the attendance and also minutes of meetings. On the face of it, the meeting was led by SOU chairman of Bukit Pilah Estate and the response on the request and inquiries was adequately attended.
Growers and millers commit to ethical conduct in all business operations and transactions
Muar Estate, on 15/3/18, SJKT Sg Muar (School) requested assistance in providing medical supplies to their first aid kit for emergency use during their sports day.
There is compliance with all applicable local, national and ratified international laws and regulations
There is also the File Linesite Complaints Book (Bkt Pilah Estate) with the latest example report/complaint on 13/02/19 about the Gone Light by Sekh Hafizul. The LORR, which was updated on compliance, dates back to that initiation and monitoring by the PQMS team. I saw the compatibility list, updated and distributed to the mill by the stability team from HQ.

In addition to the above mechanism, KK also offers a training for workers for consistency with technical implementation. Practices maintain soil fertility or, where possible, improve soil fertility to a level that ensures optimal and sustainable yields. Apart from chemical fertilizers, the proceedings also mentioned that products such as empty fruit bunch (EFB) and palm oil mill effluent (POME) can be used as nutrient support for soil fertility.

Management also strives to fulfill their responsibilities wherever possible, to prevent workplace accidents and promote a safe and harmonious working environment for all staff. Environmental Management – Zero Burning Technique (The zero-burning technique of land clearing basically involves cutting down the original stands, fragmenting them and leaving the remnant in windrows or between terraces to decompose naturally. Interview with worker's representative and local school teacher revealed that there are no complaints and grievances or disputes between the certificate holder and stakeholders. Payslip has been randomly verified and there is no trace of non-payment as stipulated in their contract. However, some of the workers feel that there is no problem in escalating as their rights and needs are taken care of.

An interview with Indonesian workers in the factory and on the estates revealed that they were approached by the property management and informed about the Indonesian presidential elections to be held in Indonesia and how the workers here could vote in the estate and the factory . Based on document verification, an interview with the company representative and the local contractor during the stakeholder consultation process, they gained insight into the contract before it was signed. The company has procedures in place to monitor operational activities in the plantations and factories through the implementation of an internal audit, carried out in accordance with the SOP of Internal Audit. Appropriate training shall be provided by the organization for personnel performing critical tasks for the effective implementation of the requirements of the supply chain certification standards. Kok Foh Mill applied Mass Balance supply chain model because the mill receives and processes all FFBs from certified and non-certified sources. Sime Darby Plantation Bhd has informed the Time Bound Plan of progress through the representative's office in Indonesia. MUTU has assessed that Sime Darby Plantation Bhd complies with the RSPO requirement for Time Bound Plan. MUTU has verified partial certification for non-certified entity subsidiary of Sime Darby Plantation Bhd based on their Time Bound Plan.

All workers involved in the operation must be adequately trained in safe work practices (see criterion 4.8). PPE issuance protocols will be reviewed at quarterly safety meetings as one of its mandatory agenda. Mill management will review the record of PPE issuance and those employees who require his PPE to be replaced will receive their PPR as requested.

Adequate and suitable protective equipment must be available to all workers in the workplace to cover all potentially hazardous operations, such as pesticide application, machine operations and land preparation, harvesting and, if used, burning. There is no inspection mechanism intended to ensure that all workers will wear PPE provided by factory management. PPE inspection will be performed each shift at the toolbox briefing to ensure all PPE is completed prior to mill stations.

Based on review of RHB Insurance payment of 135 foreign workers in Sungai Sabaling Estate, it was noted that evidence insurance payment for 39 workers was not available during the audit. The Foreign Worker Insurance Scheme (FWIS) renewal process is carried out alongside the annual permit renewal process. In this way, it can be ensured that both renewals are carried out simultaneously.
