ABSTRACT

The enrollment process of Aklan State University is done manually which takes a lot o f time to complete. They use MS Excel to store important records regarding student information. Since computers in each department are not connected, they utilize a diskette in transferring files. Printed copy o f the records are also produced as a back up and stored in a cabinet which is prone to data loss.

So, a computerized enrollment system is proposed to solve these problems.

The system is designed to handle the entire enrollment process o f the school, functions o f the system includes the registration o f new enrollees, automatic generation o f student's id number and class schedule, assessment o f accounts, generation o f class roll, and

printing o f receipts, examination permits and Registration form s. Payment transaction is also handled by the system. Another feature of the system is the electronic bulletin board which will be used to update the students with the current status o f classes. Touch screen terminals will also be available for grades and account balance inquiry. Security

measures are also implemented to protect the records by means o f the login/logout menu.

Concepts o f Relational Database Management System. Transaction Processing System. Star Network. Data Security and Touch Screen Technology arc applied in the development o f the system. The enrollment systems of Central Philippine University University o f San A gust in, Lyceum o f the Philippines University, Polytechnic University of the Philippines, and College for Research and Technology are used as the related literature for this study. The group followed the steps in the Spiral model o f Systems Development Life Cycle in conducting the study.

Through this study, the enrollment process o f ASU will be much faster.

Efficient and accurate retrieval o f information can now be implemented through the proposed system. Connection between departments is also established for easier

transferring o f files. All the records w ill be stored and secured in the database. Backups of files can easily be made through the backup function of the database. DVDRs can be used to store the backup file since CDR could not accommodate a larger size o f data.
