Retaining student work

Purpose

To remind schools to retain folios of student work used in determining exit levels of achievement.

Reasons for retaining student work

Evidence in student exit folios must be available to support school judgments about exit level of achievement decisions and for quality assurance purposes, such as:

• the November confirmation period to substantiate school exit level of achievement decisions

• verification or review of results requested by students in Authority and Authority-registered subjects

• random sampling of folios for quality assurance procedures for Authority subjects

• internal and external reviews for quality assurance of notional Sound to meet literacy and numeracy requirements for the QCE. For each year that a school determines a notional Sound in a course for students to meet literacy and/or numeracy requirements, the school will:

- retain one sample student folio from that course for which a notional Sound was determined - annotate the sample to show how the student satisfied the requirements of notional Sound - present the annotated sample folios for internal and external reviews

• internal and external reviews for quality assurance of a Sound Achievement in a QSA short course in literacy or numeracy to meet QCE requirements. For each year a course is offered, the school:

- retains one sample student folio from that literacy and/or numeracy course

- annotates that sample student folio to identify how evidence in the responses demonstrates the qualities of Sound Achievement in literacy and/or numeracy

- presents the annotated sample folio for internal and external reviews.

Action request

Please bring this information to the attention of staff and put procedures in place to:

• retain all student work used in determining exit levels of achievement in Authority, Authority-registered subjects and QSA short courses until the end of Term 1, 2013

• retain annotated sample folios for reviews described above until the next external review.
