The intent of this plan is to minimize the amount of waste going to landfill and to maximize recycling. All of the following points must be addressed when preparing a Waste Management Plan for your event.
Detail waste produced at the event: (e.g., cardboard, food waste, textiles etc. including estimated quantity).
Detail measures taken to control the amount and type of waste produced: (e.g., polystyrene cups and plates banned, any arrangements for control of packaging material, disposable items etc, stallholders required to remove packaging etc).
Detail collection and disposal arrangements for recyclable items: (e.g. number size and location of bins and dedicated material to be collected – i.e. paper & cardboard / food scraps / glass bottles etc - including name of contractor(s), frequency of servicing, container delivery and removal arrangements).

All event managers should familiarise themselves with the “ Guide to Traffic and Transport Management for Special Events” available on the RMS website at www.rms.nsw.gov.au
Class 1 and Class 2 events require to complete a Traffic Management Plan in accordance to the ‘Guide to Traffic and Transport Management for Special Events’.
A traffic management plan should include:
• event details: Name, date, time, venue, location, anticipated crowd size, event activities, venue description, existing facilities for access and any other relevant information.
• Contact details of organiser: Name of organiser, contact person’s name, title and phone number (business and mobile).
• Contact details of contractor: Name of traffic management company, contact person’s name, title and phone number (business and mobile).
• Public liability insurance: A copy of the Public Liability Insurance Policy.
• Traffic management schedule: Date, time and event schedule.
• Traffic diversion/redirection: Including details of road closures, detours, VMS signs and special event clearway signs.
• Access: Site map with access points for contractors, patrons, stallholders, entertainers, staff, VIPs, local businesses, residents and emer- gency vehicles.
• loading and unloading: Details about loading and unloading arrangements for contractors, stallholders, entertainers, staff, volunteers and patrons.
• Parking: Details about parking arrangements for contractors, stallholders, entertainers, staff volunteers and patrons.
• Public safety: Notice of intention to hold a public gathering, liaison with police and security and first aid.
• Notification: Advertising road closures and special event clearways, resident/business letterbox drop, and public transport notification.
• Traffic control plans: Plans for each road closure point, user pay police, RMS trained and accredited traffic controllers, use of traffic signal data, water filled barrier placement, change of traffic conditions and special event clearway towing management.
• risk Assessment plan: This should be for the traffic and transport risks associated with the event.
• Contingency plan: For bad weather, accident on site, accident on route, breakdown of vehicles, security of participants and security of VIPs.

emergenCY mAnAgemenT PlAn
An Emergency Management Plan outlines how you will respond to an emergency at your event. The Plan should clearly identify one key person (the Warden) who is responsible for managing emergencies at your event. The Warden’s contact details should be given to all of those who may be involved in emergency response at your event (for example security and first aid).
An Emergency Management Plan should include:
• A site plan: identifying access (for emergency services), evacuation routes and locations of First Aid and Security office.
• A clear outline of roles: who is responsible for decision making? Who is in charge of notifying Emergency Services?
• An evacuation procedure: where will you exit from? Where will you go to? How will you communicate this with your guests (signage, announcements)?
• lost Children Procedure: A clear procedure for dealing with lost children. Who is in charge of minding the child and what steps will you put in place to resolve the situation? Where can lost children be found? How will parents know what to do when they cannot find their child?
• scenarios and action plan: An assessment of the kind of emergencies that may occur? For example fire, vehicle accident or stage collapse. Then look at their likelihood and how you can reduce this risk.
• An emergency communications plan: always dial 000 first, who will report and log the incident, who else needs to be contacted (family?) and how will you communicate with your guests?
Copies of your Emergency Management Plan should be given to all event staff and contractors that will be on your event site.
