Student data for 2021 NAPLAN tests
Purpose
To inform schools of the process for uploading, checking and confirming the student data for all students participating in the 2021 National Assessment Program — Literacy and Numeracy (NAPLAN) tests.
Background
Details of all enrolled Queensland students are uploaded and checked through the QCAA NAPLAN portal. Student details need to be uploaded for both online and paper-based NAPLAN testing.
Enrolment information is used to supply test materials to schools, overprint testbooks with student details (making data processing and reporting quicker and smoother) and populate student details in the assessment platform for schools administering NAPLAN Online.
If schools do not confirm student details by Wednesday 3 March 2021, they will be required to record these details manually on the cover of individual testbooks if administering NAPLAN on paper.
Information
How to provide details
The Department of Education, and each of the Catholic dioceses, will send the data for their schools to the QCAA. The QCAA will then upload this data into the QCAA NAPLAN portal.
Independent schools, and some religious institute schools, are responsible for uploading their own data into the NAPLAN portal.
As this data is used to overprint testbooks and print individual student reports (ISRs), schools need to follow the instructions provided to ensure student data is complete and accurate.
Schools are only able to edit data in the NAPLAN portal until Wednesday 3 March 2021.
Students at schools administering NAPLAN on paper who enrol after Wednesday 3 March 2021 will need to use Type 2 (unnamed) testbooks, as Type 1 (named) testbooks will not be available.
Individual schools are responsible for checking and confirming the accuracy of their data.

Key dates
• Tuesday 9 February 2021: All Independent schools, and some religious institute schools, will have access to the NAPLAN portal.
• Tuesday 16 February 2021: All state schools, and schools from each of the Catholic dioceses, will have access to the NAPLAN portal.
• Tuesday 16 February – Wednesday 3 March 2021: The NAPLAN portal will be open for all schools to verify and confirm student details. All schools will be able to add, edit and delete details as required. Schools will confirm to the QCAA that all details are correct by confirming each class/year level in the NAPLAN portal.
• Wednesday 3 March 2021: The NAPLAN portal will close for all schools at close of
business. No further changes can be made in the NAPLAN portal after this time. Schools can print copies of school data for use during the administration of the tests.
Contact details
The NAPLAN portal requires schools to provide the current contact details of the principal and the NAPLAN coordinator when accessing the portal for the first time. This ensures schools receive important updates and timely information throughout the year.
The QCAA may also need to use SMS text notifications to communicate key information to schools. These notifications will directly advise key school staff of urgent updates and changes as required. To receive SMS updates, please ensure that the principal and NAPLAN coordinator have provided a mobile number.
If any contact details change throughout the year, schools can log into the NAPLAN portal at any time to update them. Up-to-date contact details for schools are essential to ensure
communications are sent to the correct school staff.
What you need to do
For schools uploading their own student data
1. Prepare and create a csv file/s containing the details of your students in participating year levels from your school information management system. The format of the csv file is detailed in the NAPLAN portal user manual, which is available in the NAPLAN portal. See the
‘Resources’ menu on the right-hand side of the NAPLAN portal home page at https://naplan.qcaa.qld.edu.au/naplan.
2. Upload your student data by going to the Test administration login page at
https://naplan.qcaa.qld.edu.au/naplan/pages/login.jsp. Enter your school’s Brief Identification Code (BIC) and password. Start the process of uploading your student data by clicking
‘Upload csv file’ in the main menu.
For all schools, following upload of student data to the QCAA NAPLAN portal
To check and confirm student data:
1. Go to the QCAA home page at www.qcaa.qld.edu.au.
2. Select ‘NAPLAN portal’ from the ‘Logins’ menu on the right-hand side of the screen.

3. Select Test administration login and enter your school’s BIC and password.
Note:
• The BIC and password are unique to your school and must be kept secure.
• You cannot use a personal BIC/password.
4. Open the NAPLAN portal user manual. This will assist principals and administrators to register students and complete other tasks.
5. Add, delete or edit student data as necessary. For each student, the following data is required: full legal name, date of birth, class, school code and school name. An EQ ID is required for state school students only.
6. Order your student data for each year-level cohort, either by class group or alphabetically.
The same order will be used to pack test materials, report results, and print and deliver individual student reports (ISRs).
Note: The same order must be used for both the literacy and numeracy tests.
7. To confirm your student data for each year level or class group
• in the main menu, select ‘Confirm a class/year level’
• next to the description of the class/year level you wish to confirm, click on the dropdown arrow next to ‘Confirmed’ and select ‘Yes’
• once all classes/year levels are confirmed, the registration of your student data is complete.
