3.3 System and Procedure

3.3.2 Working Procedures

Work procedures or activities carried out when doing practical work at the Public Relations section at PT. Pertamina RU II Production Sungai Pakning is explained as follows:

1. Write Minutes

Minutes are a record of the journey of an activity, whether it is a meeting, seminar or discussion that starts from the beginning to the end of the event. The

minutes form contains the title of the meeting, the date/day of the meeting, the place and the meeting participants who attended. In addition, it contains a description of the discussions that were agreed upon during the meeting and what actions were taken during the meeting.

One of the activities was a visit from the Pekanbaru BPTP to a pineapple plantation in Kampung Jawa, Sungai Pakning which discussed some of the characteristics of pineapple, methods from seeding to harvesting, and others.

2. Writing Activity Implementation

Every activity carried out has a goal to be achieved for the progress of the group. After the activities carried out have been completed, the next stage is writing the implementation of the activities. The implementation form is written by the person in charge of the activity or who has been appointed to be the minutes.

The activity implementation form contains a description of the activities that have been carried out. Name of Activity, name of organizing group, category of activity, number of activity participants, location of activity, purpose of implementing activities and activity results, namely benefits, problem findings and follow-up plans for the activities carried out.

3. Archiving Activity Minutes/Attendace

After the minutes and attendance of activities are complete, both are stapled and submitted to the supervisor from Pertamina and then stored in a filing cabinet according to the fostered program.

4. Duplicate Document

Document duplicating is a process of reproducing documents with a specific purpose and purpose. The documents that are often duplicated are the Community Satisfaction Index questionnaire, minutes form, implementation form and activity absences. The method of duplicating documents is as follows:

30 5. Print Documents

Printing is an activity to convert softcopy into hardcopy which requires a tool in the form of a printer. To print files, the first step is to make sure that the computer and printer are connected. Click home on the Microsoft Word file to be printed, select the print menu. Make sure all the desired settings have been defined such as paper size, margins, color/black and white. Then select the printer that is connected to the word online. After that click print to print. The examples of printed documents are as follows:

6. Send Invitations

Sending invitations with the intention of inviting and providing information to the village about the activities carried out. an example of an activity that has been carried out is the Mobile Legends E-Sport Tournament at Telaga Suri Perdana Sungai Pakning.

In order for the event to be lively, it was given the task of delivering invitations containing notifications regarding the activities to be carried out. The destinations for sending the invitations are the Bukit Batu District Head Office and the Sungai Pakning Village Head Office.

7. Responsible for making the Community Satisfaction Index Survey Questionnaire for the public relations program.

The Public Relations program of PT. Pertamina RU II Production Sungai Pakning consists of 9 programs, namely: Community Empowerment-Based

Karhutla Mitigation, Integrated Pineapple Farming, Peatland Horticulture Agriculture, Sekolah Cinta Gambut Curriculum, Environmentally Friendly Peat Forest Honey Cultivation, Blood For Us, Posyandu Sehati, Conservation and Mangrove Ecotourism Pangkalan Jambi, Brackish water Aquaculture.

In the implementation of the Community Satisfaction survey on several programs assisted by Pertamina's Public Relations, then they were given the task to make a questionnaire consisting of several aspects, namely, Program Socialization, Program Planning, Program Implementation Process and others.

8. Responsible for distributing or collecting data on the Community Satisfaction Index Survey Questionnaire for the program from public relations directly to the field and online.

There are 2 (two) methods used in collecting survey data on the community satisfaction index survey questionnaire, namely by going to the field directly (meeting with the target community) and by taking questionnaire data online.

Online data collection was carried out because there were several programs assisted by Pertamina's Public Relations which were located quite far away, such as the Eco- Friendly Peat Forest Honey Cultivation in the area of Tanjung Leban Bakti Village,

Sekolah Cinta Gambut program that is located far from companies such as SDN 12 Siak Kecil, and other.

9. Responsible for combining questionnaire data into Microsoft Excel

After getting data from going directly to the field and data online, they were given the task to combine all the data into excel and submitted to the supervisor from Pertamina to be processed and to get the results. The combined results in excel are as follows:

10. Collecting data on the Climate Village Program

The climate village program is a national-wide program managed by the ministry of environment and forestry in order to increase the involvement of the community and other stakeholders to strengthen adaptation capacity to the impacts of climate change, reduce emissions and provide recognition of climate change adaptation and mitigation efforts that have been carried out that can improve welfare at the local level in accordance with regional conditions.

Therefore, they were given the task to go directly to the field, namely to the Pakning Asal Village Office for data collection and some documentation related to the questions of the climate village program.
