General Communications Policies
Bell Tower Banners
The sponsoring university department or registered student organization is responsible for all costs associated with banner installation and removal (approximately $80). Once the banner has been removed, a Campus Center staff member will notify university departments or registered student organizations.
Bulletin Boards
Banners not retrieved by the Campus Center Administrative Office within three (3) business days of notification of removal will be discarded. University departments and registered student organizations must submit a Bell Tower Banner Request Form along with an image of how the banner will look at least 10 business days prior to the desired banner installation date.
Digital Signage
If you're using an image in the background, adjust the opacity so the text is clearly visible, or add dimension to the text (such as a drop shadow or an outer glow) to make it stand out. University departments and registered student organizations must submit the Digital Signage Announcement Request Form, along with an image of what the DSA will look like, at least 3 business days in advance of the desired installation date.

Newsstand Ad Panels
However, a late cancellation fee of $25 will be charged for any reservation canceled less than 2 business days prior to the confirmed reservation date. Billboards will be removed by Campus Center staff in accordance with the end date specified on the request form.
Railing Banners
Banners will be removed by Campus Center staff according to the end date specified on the request form, but will only be posted for a maximum of 30 business days. After 10 working days, Campus Center staff will remove and dispose of the table tents.

Submitting Room Reservation Requests
General Policies
Applications from registered student organizations for space in academic buildings (BS, CA, ES, IT, LD, LE, SL, NU) must be submitted to the Campus Center Administrative Office at least ten (10) business days in advance. Participants are expected to stay in the event area and not have access to the entire building.
Admission Charges or Merchandise Sales
All events will be canceled if the University is closed and/or classes are canceled due to weather, natural disaster or emergency. All attendees of these events are expected to enter the building through designated entrances.
Building Hours
Events will not be scheduled to take place at any time when the University is closed, including holidays. Event planners and all event attendees will be expected to wait until the building opens the day before entering.
Building Use
Events will generally be scheduled to end 30 minutes before building closing time to help make it easier for all guests to leave the building on time.

Organizations that damage meeting room walls, furniture or windows will be held financially responsible for all repairs. A cleaning fee will be charged for items not removed and/or if rooms are left in disarray.
Emergencies
A group may be charged for damages in the Campus Center as a result of improper use of decorations and exhibits. Candles, incense and/or fire (or anything with an open flame) are not permitted anywhere in the Campus Center.
Fronting
If an emergency is reported to the event organizer, he/she should contact Campus Center staff immediately. The easiest way to do this may be to call the Information Desk on the Theater Level, there is a Campus Center employee in the Game Room during game room hours of operation.
Internet (Wi-Fi) Access
Event clients do not automatically gain access to use the loading dock by hosting an event at the Campus Center. The Campus Center does not validate parking for people visiting the facility for events or meetings.
Rental Charges and Event Responsibility
For information on the policies and procedures related to the use of the Campus Center loading dock, see page 15. Departments/schools hosting events in the Campus Center should contact Parking Services at regarding special event parking issues, concerns and questions.

There are three (3) entrances to the Campus Center from the garage, one on Level 1 at the southwest end of the building and two on Level 2 at the northwest and southwest ends.

The rate for this service is $120 for up to 4 hours and $30/hour for additional hours (see page 45 for detailed information on technical assistance charges). Audio recordings will incur an additional charge of $30 per hour in addition to additional staff costs.

Rehearsals can be scheduled in the group practice room on a first-come, first-served basis as space is available. The maximum capacity for the group practice room is 100 people for lectures and 70 people for banquet settings.
Smoking
It is the sole responsibility of the event sponsor/host to ensure that no more than 100 people are invited and/or permitted to be in the group practice room. Audio recording of performances is available and audio recording must be arranged in advance and noted on the booking inquiry form.

General Information
How to Reserve Event Space and Planning Timeline
Campus Center staff will contact IU Police to arrange for officers to monitor the event. A list/schedule of event monitors must be provided to Campus Center staff the evening of the event prior to commencement.
Fees
At the end of the event, the sponsoring organization must complete an after-hours event clean-up checklist. This form must be returned to the professional staff who attended the event before the sponsoring organization representatives leave for the night.
Event Rules for Student Organization Events
The sponsoring organization is responsible for cleaning up the event space and putting back all furniture, under the supervision of professional staff and student employees hired to work. The entry fee policy for the event will be clearly posted at the entrance to the event.
Responsibilities Related to Monitoring an After Hours Event
Once the attendance limit is reached, the event will close and no additional guests will be allowed in (even if some guests eventually leave). A list/schedule of all members who will serve as event monitors and their assigned shifts must be submitted at the beginning of the event.
Responsibilities of the Event Sponsor(s)
Professional staff supervisors are authorized, after consultation with IU Police, to stop an activity if an event gets out of control; if state, local or university regulations are violated;. These event monitors must be clearly identifiable by wearing brightly colored shirts, hats and/or buttons identifying them as event monitors.

GENERAL PROCEDURES
Responsibilities of Campus Center Staff and Emergency Volunteers
After any incident or exercise, the Emergency Coordinator will conduct an evaluation with floor custodians, assistant floor custodians, friends, campus center staff, IUEMC and fire protection services. Floor Custodians assist the Emergency Coordinator and Campus Center staff with emergency preparedness and response.
Training
Floor Assistants will assist floors with any and all responsibilities described above when requested. The choice of which of these measures to take will depend on the exact nature of the incident, the specific needs of the individual being evacuated, and the time required to move people from the Campus Center.
Providing Help to Persons Needing Access or Functional Assistance
A discussion should follow each situation to allow input from both sides and to allow fine-tuning of the plan of action. If you provide assistance to a person who needs access or functional assistance, once you exit the building or go to the designated safe area within the building, you must notify a Floor Warden or Emergency Coordinator of the person's location. assisted.
Armed Subjects / Active Shooter Situations
Take Out: If the armed subject/active shooter is able to reach your hideout, be prepared to act to engage him/her. If the armed subject/shooter leaves the area, immediately move to a safer location and do not touch anything that was in the area you are leaving.

Chemical or Hazardous Materials Spill
If you come into physical contact with spilled material, immediately remove all contaminated clothing and flush all body contact areas with copious amounts of water. Continue flushing body contact areas with large amounts of water for at least 15 minutes unless otherwise directed by appropriate healthcare professionals.
Earthquake
Do not return to the building until directed to do so by representatives of the IUPUI Department of Fire Protection Services, the IUPUI Department of Environmental Health and Safety, or the IU Police Department. If you need to evacuate, send a message in plain sight indicating that the building has been evacuated and where you will be.
Fire, Smoke or Explosion
Aftershocks are usually smaller than the mainshock, but can be large enough to do additional damage to structures that were weakened during the mainshock.
Flood or Utility Failure
During a power outage, certain areas of the building may not have enough natural light to clearly see the exit corridors. If the basement is flooded, the power to the building must be turned off.
Tornado / Severe Thunderstorm
If you are in the flood area before the power is turned off, you should stay out of the water and contact Campus Facility Services at 278-1900 for instructions. Loss of domestic water or fire protection water, while not an emergency, will ultimately interrupt the building's operations.

Walk down (do not stand/ride) the escalator to level 1 and exit the building through the University Boulevard East entrance. If you plan to be in the building outside of normal hours, it is recommended that you inform another staff member of your plans.
