ABSTRACT
In the University o f Philippines in the Visayas Miag-ao campus, five residence halls, namely, Balay Apitong (Graduate Hall), Balay Madya-as (Boys Dormitory), Balay Gumamela (Girls Dormitory), Balay Lampirong (Freshmen Hall I), and Balay Kanlaon (Freshmen Hall II), and one in Iloilo City Campus, Balay Ilonggo, house undergraduate and graduate students, faculty, UPV personnel, and guests o f the University. Freshmen in Miag-ao campus are housed together in two dormitories, while upperclassmen male and female students stay in two other dormitories. These dormitory residents pay a lodging fee. The Graduate Hall or Balay Apitong accommodates graduate students, undergraduate thesis writers and guests.
These dormitories relied on manual systems, composed o f filing cabinets o f records and forms. These files take up space and are very bulky and thus records searching become a nuisance. The team proposed to update the system o f records management by incorporating a software solution, a web based records management system. The new system design should not only cater one dormitory but the entire group o f residence halls. With the need o f information management on this high tech world nowadays, a system such as this is greatly needed.
