I. INTRODUCTION

The NAMRIA Web Content Management System (NWCMS) is an application system developed by the Geospatial Systems Development Division (GSDD) to provide a system that ensures accountability among content providers of the NAMRIA website. Content providers will be responsible for the data shared online, its accuracy and regular updates.

It is envisioned to provide a facility for the other department of NAMRIA to be able to connect to the system and its database through the use of internet.

The NAMRIA Web Content Management System is developed using joomla as its backend.

II. How to launch the NAMRIA Web Content Management System

1. Open any Internet browser (e.g. ).

2. On the Address Bar, you can access the NWCMS by typing cms.namria.gov.ph and press ENTER. The landing page (Figure II.2) will appear.

The following are the sections in Figure II.2

 Breadcrumbs - Shows your current location in the CMS.

 Published Articles- Articles that has been checked and uploaded.

 Published Downloads -Files ready for download.

 Login panel -Panel where you can login.

III. How to use the Log-in

1. Use the username and password that the System Administrator provided you. Click Log in Button.

2. An error access message will be displayed and requiring the user to input the username and password if the username and/or password is wrong.

Success login will direct you to the MAINTENANCE page.

3. Click Log out Button to sign out from the system

IV. How to use MAINTENANCE

1. Author Account

The MAINTENANCE page (Figure IV.1) for the author account shows the summary of all your published and unpublished articles/files.

The following are the sections that you can see in Figure IV.1:

 Breadcrumbs - Shows your current location in the CMS.

 List of Unpublished Articles- Articles created but not yet published.

 List of Unpublished Downloads- Files uploaded but not yet published.

 List of Published Articles- Articles created and published.

 List of Published Downloads- Files uploaded and published.

 Log in / Log out – Function to connect or disconnect to the system.

Main Menu – Directs you to maintenance, create article or upload file menu.

1.1 The List of Articles and Downloads (Published and Unpublished)

The List of Articles and Downloads, both published and unpublished, located in the left panel of your screen is necessary to inform you which article or uploaded file is still on queue for approval or publication by your publisher.

1.2 The HOME Link

Clicking the HOME link found in the breadcrumbs or the HOME Button will display the page of all published articles written by all authors of the NWCMS and also the files that can be downloaded from the NAMRIA website.

In Figure IV.1.2 (The HOME Page - Author Account) you will notice an EDIT Button in every article. When you click this EDIT button, you will be directed to the Editor’s page where you can revise the published article. (The Editor’s Page procedure is described in Part V. Create Article.)

When you, the author, decides to edit a published article, you must take caution because whatever revision or update you will make will instantly be displayed in the NAMRIA website. You should consult with your publisher first before making any changes to the published article.

You can also see that in every article there is an “Edit Button” and “Read More” link.

EDIT BUTTON when clicked, you will be directed to the Editor’s page where you can revise the article. The READ MORE link will bring you to the full text or content of the article. The full text is also what is displayed in the NAMRIA website. Reading or viewing the entire article will help you determine the completeness of the article and will help you decide if it actually needs revision or editing.

1.3 The MAIN MENU

The MAIN MENU located on the right panel of your screen lists down three main modules or procedures of the CMS. The first one is the MAINTENANCE which is disabled because you are already inside the page, the second module is the CREATE ARTICLE where you can create new article, and the last one is the UPLOAD FILE where you can upload files for downloading from the NAMRIA website.

2. Publisher Account

The MAINTENANCE page (Figure IV.1) for the publisher account shows the all published and unpublished articles/files that needs action.

The following are the sections that you can see in Figure IV.1:

 List of Unpublished Articles- Articles for proof reading/checking and publish.

 List of Unpublished Downloads- Files uploaded for approval and publish.

 List of Published Articles- Articles that are already checked and published.

 List of Published Downloads- Files uploaded that are ready to publish.

 Log in / Log out – Function to connect or disconnect to the system.

Main Menu – Directs you to create article or upload file.

Action Dropdown- Options assigning appropriate actions to the file (The Action Dropdown procedure are described in Publisher Account 2.2 -The Action Dropdown).

2.1 The List of Articles and Downloads (Published and Unpublished)

The List of Articles and Downloads, both published and unpublished, located in the left panel of your screen are clickable to view the full content and the list is necessary to inform you which article or uploaded file are in a status of publish, unpublished, edit, review and trash.

2.2 The Action Dropdown (Unpublished Article)

The Action Dropdown is the yellow button located in the right panel of your screen with a dropdown feature (as seen in Figure IV.2). The publisher are authorized which article or uploaded file can be published, edited and trashed.

2.2.1 The Unpublished Articles can be assigned the following Action as seen in Fig IV.2.2.1:

Publish - When clicked, the article will be instantly displayed in the NAMRIA website.

Edit - When clicked, you will be directed to the Editor’s page where you can revise the article. (The Editor’s Page procedure is described in Part V. Create Article.).

Trash - When clicked, the article will be instantly removed from both the Publisher’s and Author’s account list of unpublished articles.

2.2.2 The Publish Articles can be assigned the following Action as seen in Fig IV.2.2.2:

Unpublish - When clicked, the file will instantly be removed from the NAMRIA website.

Edit - When clicked, you will be directed to the Editor’s page where you can revise the article. (The Editor’s Page procedure is described in Part V. Create Article.).

Trash - When clicked, the article will be instantly removed from both the Publisher’s and Author’s account list of unpublished articles.

2.2.3 The Unpublished Downloads can be assigned the following Action as seen in Fig IV.2.2.3:

Publish - When clicked, the file will instantly be displayed from the NAMRIA website.

Review - When clicked, you will automatically download the file for checking/review.

Please note that you need to allow the pop-up on your browser to download the file.

Trash - When clicked, the article will be instantly removed from both the Publisher’s and Author’s account list of unpublished downloads.

2.2.4 The Published Downloads can be assigned the following Action as seen in Fig IV.2.2.4:

Unpublish - When clicked, the file will instantly be removed from the NAMRIA website.

Review - When clicked, you will automatically download the file for checking/review.

Trash - When clicked, the article will be instantly removed from both the Publisher’s and Author’s account list of unpublished downloads.

2.3 The HOME Link

Clicking the HOME link found in the breadcrumbs will display the page of all published and not published yet articles written by all authors of the NWCMS and also the files that can be downloaded from the NAMRIA website.

In Figure IV.2.3 (The HOME Page - Publisher Account) you will notice an EDIT button in every article. When you click this EDIT button, you will be directed to the Editor’s page where you can revise the published article. (The Editor’s Page procedure is described in Part V. Create Article.)

The following are the sections that you can see in Figure IV.2.3:

 Notifier - Red note with a message “Not published yet”, reminder for the publisher that the article or file has not yet uploaded.

 Article’s Title - Clickable title of the article.

 Edit Button - When clicked, you will be directed to the Editor’s page where you can revise the article. (The Editor’s Page procedure is described in Part V.

 Read More – link to view full content of the article.

 Log in / Log out - Function to connect or disconnect to the system.

Main Menu - Directs you to create article or upload file.

Downloads – files that are already shared for public use.

You can also see that in every article there is a “Read More” link. The link will bring you to the full text or content of the article. The full text is also what is displayed in

the NAMRIA website. Reading or viewing the entire article will help you determine the completeness of the article and will help you decide if it actually needs revision or editing

2.3.3 The MAIN MENU

The MAIN MENU located on the right panel of your screen lists down three main modules or procedures of the CMS. V. How to use CREATE ARTICLE

1. Editor Page

The EDITOR page (Figure V.1) for the author account shows the summary of all your published and unpublished articles/files.

The following are the sections that you can see in Figure IV.1:

 Title bar - text box where you place the title of the article.

 Toolbar - Formatting tools use in creating an article.

 Body text box - text box where the author create his/her article.

 Log in / Log out - Function to connect or disconnect to the system.

Main Menu - Directs you to create article or upload file.

1.1 The Title

The text box where you type the title of the article.

1.2 The Body

The text box where you create the content of your article. Take note that the first 300 words will appear in the HOME page of the News and Events. The full content can be viewed once clicked the Read More link.

1.3 The Tool bar

The toolbar displays the tools that can be used on the viewer.

Select All Selecting all contents in the body text box.

Cut Cut Tool, remove a text, paragraph, image

or object and place it in a buffer.

Copy Copy Tool copies a text, paragraph,

image or object.

Paste Paste Tool is to paste a text,

paragraph, image or object.

Paste as plain text

Paste only text disregarding images.

Check Spelling

Tool to review misspelled words.

Undo Tool to roll back an entire editing

session.

Redo To do over again the entire editing

session.

Erase Format

To clear text effects, and font formatting in your document.

Find Automated word search function.

Bold Text A set of type characters that are

darker and heavier than normal.

Italic Text Cursive font based on a stylized form of calligraphic handwriting.

Underline Text

A less horizontal line immediately below a portion of writing.

Numerical Bullet List

List of items that have a specific numerical order or ranking.

Decrease Indent Space

To decrease the space left between the margin and the start of an indented line

Increase Indent

To increase the space left between the margin and the start of an

Space indented line

Text Size Tool that set the sizes of the fonts in your article.

Link

Selectable connection from one word, pictureor information object to another.

Unlink

Selectable disconnection from one word, picture or information object to another.

1.3.1 How to input content or text

1.3.1.1 Typing directly inside the body text box.

1.3.1.2 Transferring from a document file.

1. Copy the text. (ctrl+c) or highlight the sentence or words and use right click of your mouse and choose copy.

2. Paste inside the body text box of your editor by shortcut press ctrl+v or use right click of your mouse then choose paste.

3. A window will appear as shown in fig 1.2.1.2.3

4. Paste inside the text box again and click OK button.

1.3.2 How to use the formatting buttons:

1. Highlight the text desired to have a link function 2. Click Link tool found on the toolbar section.

3. A file browser will appear, from here users can upload and select files that will be linked to the highlighted text.

4. If the highlighted text will not be linked to a file, Please click the Cancel button to skip the file browser and able to proceed to the Link dialog box.

If the file is not found on the list. Please select Choose File to select the file.

After selecting, Click Upload button for the file to be uploaded on the server.

5. A confirmation message will appear to close the File Browser dialog box, just the

6. A link dialog box will appear, encode/type inside the URL box the website link and Click OK button to go back to the article.

1.3.2.2 How to add a webpage link to an article

1. Highlight the text that has a link and Click the Unlink tool

- Unlink

1.3.2.3 How to add/insert Image to the article

1. Click Image tool found on the toolbar section.

2. Click on the file/image to be used in the article on the list.

If the file is not found on the list. Please select Choose File to select the file.

After selecting, Click Upload button for the file to be uploaded on the server.

Please make sure that the image to be uploaded will have NOT more than 660px width.

3. After clicking the file on the list. An image property dialog box will appear.

A file browser will appear with a list of file ready for linking to the image. If the file is not found on the list. Please feel free to upload the file to the server by clicking Choose Files and selecting the file and click Upload button. After doing so, please select the file the list for it to be linked to the image.

If it’s not a file but a website to be linked to the image. Please click on Cancel button to return to the image properties dialog box and type the URL of the website.

4. Please click Ok Button once everything is finished.

The Publishing located on the below part of your screen after the Editor panel.

The following are the sections that you can see in Figure IV.3:

• Category- Defines the category into which the article to be created will be sorted to. This feature is clickable/selectable for all users.

Status (for publisher accounts only) - This feature will either publish or archive or trash or unpublished an article. Selecting Published will publish the article while Archived will store the Article for future use while Trashed will delete the article and Unpublished will make articles unpublished or subject for proof reading.

Featured (for publisher accounts only) - This feature will make the article show/not at the landing page of the CMS website. Selecting Yes will show the article in the landing page while No will not show the article in the landing page.

• Keywords - Words that define in the article that will help search engines find the article.

• Save button – Click the save button to finalize the article.

VI. How to use UPLOAD FILE

1. Upload File

The UPLOAD page (Figure IV.1) for both author and publisher account.

1.1 The FILE CATEGORY contains nine categories namely

ANNOUNCEMENTS, ANNUAL REPORT, INFO MAPPER, JOB OPPURTUNITIES, MAPS, NAVIGATIONAL WARNING, NOTICE TO MARINERS and OTHERS.

1.2 The CHOOSE FILE BUTTON wherein users can select the file which is to be uploaded. There is a file size limit of 200 MB or 204800 KB and allowed file extension must be in either ZIP, or RAR, or PDF for each uploaded file. Users can only select ONE file per upload.

1.3 Click SAVE BUTTON to start uploading the file to the server with the upload title.

Users must input the title and selected the file to be uploaded first so that the Save button will not return an error.

1.4 Click CANCEL BUTTON to cancel the current operation
