Kompleksitas operasional sebuah perusahaan manufaktur berskala besar seperti Arwana membutuhkan sistem pengelolaan informasi yang dapat diandalkan agar setiap departemen dan bagian mendapatkan informasi yang akurat dalam mengambil keputusan yang tepat berdasarkan data yang valid. Oleh karena itu, Arwana terus melakukan pemutakhiran arsitektur teknologi informasi (Information Technology/IT) dan berbagai sumber daya pendukungnya dalam rangka meningkatkan kecepatan, akurasi, keandalan dan stabilitas arus informasi dan komunikasi, serta untuk mendukung otomatisasi berbagai proses internal.
Fungsi Pelaksana
Arwana memiliki departemen khusus yang bertanggung jawab merencanakan, mengimplementasikan dan mengendalikan sistem IT perusahaan. Dalam menjalankan fungsinya saat ini, departemen ini memiliki tugas-tugas sebagai berikut:
• Merencanakan dan mengembangkan infrastruktur IT perusahaan serta mengantisipasi kebutuhan infrastruktur IT perusahaan untuk jangka pendek, menengah dan panjang. • Memfasilitasi kegiatan komunikasi dan arus informasi, melalui penggunaan teknologi yang tersedia, antara Head Office dan pabrik-pabrik Arwana di berbagai lokasi agar koordinasi terkait produksi, administrasi dan berbagai aspek operasional lainnya dapat bersifat real-time.
• Mengelola ketersediaan perangkat keras (hardware), perangkat lunak (software), perangkat audio dan visual, jaringan LAN dan WAN kabel dan nirkabel, jaringan internet kabel dan nirkabel, peladen (server), dan infrastruktur IT lainnya yang dibutuhkan untuk mendukung kelancaran operasional perusahaan.
• Mengelola inventaris IT perusahaan.
• Memudahkan aktivitas pengolahan data dalam
perusahaan melalui pemanfaatan berbagai kemajuan teknologi dalam ranah IT.
• Membantu mengembangkan sistem pengendalian
produksi yang dapat mengoptimalkan efisiensi biaya dan waktu produksi.
• Mengembangkan sistem Enterprise Resource Planning (ERP), yaitu Arwana Management System, yang dapat mengintegrasikan pengelolaan aspek operasional yang berbeda-beda dan merampingkan proses bisnis yang berjalan dalam perusahaan.
• Menetapkan berbagai kebijakan terkait teknologi komunikasi dan informasi bagi staf dan karyawan, termasuk di antaranya Prosedur Operasi Standar (Standard Operating Procedure/SOP), petunjuk pelaksanaan dan petunjuk teknis bagi aktivitas yang berbasis IT.
• Mengamankan infrastruktur IT perusahaan.
• Menjaga kerahasiaan data perusahaan dengan
menerapkan sistem pengendalian IT yang komprehensif. • Membantu para karyawan untuk meningkatkan efektivitas kerja dengan menyediakan solusi berbasis IT berdasarkan SOP yang berlaku.
• Mengadakan pelatihan IT bagi staf dan karyawan apabila dibutuhkan.
• Menyiapkan peralatan teknologi komunikasi dan informasi yang dibutuhkan dalam penyelenggaran kegiatan-kegiatan perusahaan.
The operational complexity of a large-scale manufacturing company such as Arwana requires a reliable information management system in order for each department and unit to be able to obtain accurate information in making prudent decisions based on valid data. For that reason, Arwana carries out continuous enhancements of the company’s IT architecture, as well as the supporting resources thereof, in order to better improve the speed, accuracy, reliability and stability of information and communication flow within the company, as well as to support the automation of various internal processes.
Implementing Function
Arwana has a special department that carries out the task of planning, implementing and controlling the corporate IT system. In performing its current function, this department has the following duties:
• To plan and develop the company’s IT infrastructure and anticipate the future needs in the short, medium and long-term. • To facilitate communication activities and information flow, through the use of available technology, between the Head Office and Arwana factories in various locations in order for coordination activities related to production, administration and various other aspects of company operations to be able to take place in real-time.
• To manage the availability of hardware, software, audio and visual equipment, cable and wireless LAN and WAN network, cable and wireless internet network, server, and other IT infrastructure required to support the operational continuity of the company.
• To manage the company’s IT inventory.
• To facilitate the data processing activities of the company through the use of technological advancements in the IT field. • To help develop a production control system that can optimize production cost and time efficiency.
• To develop a Enterprise Resource Planning (ERP) system, namely the Arwana Management System, that can integrate the management of different aspects of the company’s operations, and streamline the business processes within the company. • To determine policies related to ICT for company employees, including with regards to standard operating procedures (SOPs), implementation guidelines, and technical guidelines for IT-based activities.
• To secure the IT infrastructure of the company.
• To safeguard the confidentiality of company data by implementing a comprehensive IT control system.
• To assist company employees in better improving their work effectivity by providing IT-based solutions based on existing SOPs.
• To carry out IT trainings for employees as required. • To prepare the ICT equipment needed in company events.
Program dan Rencana Kerja pada Tahun Berjalan
Pada tahun 2017, langkah-langkah pokok yang telah diambil Arwana dalam mengembangkan sistem informasi perusahaan adalah sebagai berikut:
• Warehouse Management System untuk melacak
perubahan stok sudah diimplementasikan beserta aplikasi smartphone terkait.
• Otomatisasi data mesin untuk meningkatkan kualitas audit atas kualitas secara keseluruhan.
• Berbagai penyempurnaan sistem untuk meningkatkan kemampuan sistem informasi perusahaan secara keseluruhan.
Sementara itu, sejumlah rencana baru telah juga dicanangkan dan telah berada dalam tahap penjajakan awal. Rencana-rencana tersebut antara lain:
• Mengembangkan otomatisasi pengumpulan data (data collection) produksi untuk berbagai tahapan produksi, yaitu input bahan baku dari kedatangan dan penimbangan hingga pemanfaatan bahan baku dan output produksi.
• Implementasi fase satu sistem Next Generation ERP yang kompatibel dengan sistem Cloud serta lebih efektif. • Implementasi Document Management System. • Pemutakhiran versi perangkat lunak database.
• Mengembangkan Disaster Recovery Plan yang lebih komprehensif, yaitu infrastruktur IT cadangan yang mencakup server, software, serta kelengkapan lainnya yang dipasang di lokasi-lokasi strategis.
• Penyempurnaan infrastruktur IT yang telah tersedia, antara lain meliputi langkah-langkah berikut ini:
- Peralihan dari penggunaan kabel unshielded
twisted pair (UTP) ke kabel serat optik (optical fiber cable) untuk backbone IT perusahaan.
- Peralihan sistem jaringan IT perusahaan di
lokasi-lokasi kantor dan pabrik dari yang sebelumnya konvensional menjadi sistem berbasis teknologi nirkabel dan membuat Arwana 100 persen siap Wi-Fi.
Work Programs and Plans for the Current Year
In 2017, the main policies that have been implemented by Arwana to enhance the company’s information system are as follows:
• Warehouse Management System for tracking stock inventory is in place along with the related smartphone application. • Automation of the machine data for better auditing quality on the overall quality.
• Various tweaks and minor adjustments to increase the capabilities of the company’s information system in its entirety.
On the other hand, a number of new programs have been planned and are currently already in the exploratory stages of implementation. Those plans include:
• Automation of data capturing related to different stages of the production process; namely the input of raw material from arrival and weighing to utilization and production output. • Implementation of the first phase of the Next Generation ERP system which is cloud-ready and more effective.
• Implementation of Document Management System. • Upgrade of database software version.
• Developing a more comprehensive Disaster Recovery Plan, specifically a backup IT infrastructure encompassing server, software and other supporting components by installing them at strategic locations.
• Modernizing the available IT infrastructure, including through the following measures:
- Migration from the use of unshielded twisted pair (UTP) cables to utilizing optical fiber cables for the company’s IT backbone.
- Migration of IT network systems at company offices and factories from conventional systems to wireless-based systems and making the entire Arwana environment 100 percent Wi-Fi-compliant.
