Student Management app — new functionality

Purpose

To inform schools about new functionality in the QCAA’s Student Management app, which holds student enrolment details, learning information and results for the new Queensland Certificate of Education (QCE) system.

Background

The QCAA’s Student Management app was launched in 2018 as part of the transition to the new QCE system. Beginning with the 2019 Year 11 cohort, Student Management will replace the Student Data Capture System (SDCS) and the Senior Learning Information Management System (SLIMS)/Registration and Banking System (RABS).

Student Management is being rolled out in stages to align with the processes and procedures for the new QCE system.

Functionality and access

Student Management now includes the following functionality:

• QCE eligibility for individual students or groups can be projected based on enrolments in QCAA General and Applied subjects, and VET courses. Eligibility is based on enrolments being completed to the set standard and the set pattern. QCE credit is treated as projected until results are finalised and credit is banked into student learning accounts. At this stage the projected eligibility does not include QCAA Senior External Examination syllabuses,

International Baccalaureate courses, recognised study provider courses or partial enrolment.

These will be added later in 2019.

• School RTOs can automatically enrol a student or group into the offered competencies when enrolling them in a qualification. This is based on the school RTOs’ scope of registration identifying the competencies they will offer.

• Equivalency information between Applied subjects and VET qualifications has been added. If duplication of learning occurs during enrolment, a warning message is displayed and a notification is sent to the main learning provider. Reports are also available.

• International Baccalaureate enrolments can be created by file import.

• Enrolment validation rules can be overridden for Extension subjects. This feature is only available for individual students via the learning account enrolment screen.

Access and support

The Student Management app is accessed via the QCAA Portal at www.qcaa.qld.edu.au/portal and will appear as a tile for users assigned the Student Management Administrator role. Access Management Organisation Administrators should assign the Student Management Administrator role to appropriate staff.

Quick steps to explain how to use the Student Management app are available via the Help link.

What you need to do

• Ensure your school or RTO uses Student Management for the 2019 Year 11 cohort and future cohorts.

• Ensure staff are aware of the new functionality in Student Management.

• Continue to use SDCS and SLIMS/RABS for the 2019 Year 12 cohort.
