The contract and expatriate management tracking system has been developed to achieve its goal, which is to develop a system primarily intended to be able to track data about the contract that the staff wants to extract a system that can alert the user to the contract that requires attention or renewal needs. While the problem with the current behavior is the difficulty in tracking specific items and value in the contracts and the delay in contract renewals because there is no warning from the HR people about the expiry date of the contract. For this study, the scope of the study was to investigate effective contract management options such as key data tracking, alert system and report generation.

It is to identify the most appropriate design principle that can be applied in the development phase and the appropriate tools that are Visual Basic and Microsoft Access. The coordinator provides great assistance in understanding contract management and defining user requirements primarily. The contract and expatriate management tracking system will be developed according to user requirements, what is required by HR staff.

The coordinator provides a lot of guidance during the development and indicates that the most important functionality is to be able to specifically track each contract and all data. The system can also alert the end user to the contracts that require staff attention, such as reviewing additional actions and the renewal process.

Delay in contract renewals as there is no warning or from the HR staff about the contract expiry date. The new system has programmed workflow and coding that automatically stores forms/data in the system and can track specific data as well as increase the efficiency of the entire process. To develop a system that can alert the user about the contract that needs attention or renewal.

This project will aim to explore effective contract management options such as generating reports and tracking important data. The system will focus on local and expatriate contract management in UTP and for HRM staff on better contract management. Identifying the most appropriate design that can be applied to the evolving system logic and system interface will become one of the research areas of this project.

The project is one of the items that must be launched completely and efficiently to maintain the HR department's KPIs. It is important that every aspect of the business process, especially the contract and expat management, such as the flow of the system, fields and variables, the authorization permission and all the details, must be analyzed and discussed first.

Expatriate Management

An expatriate is a person who resides temporarily or permanently in a foreign country and usually stays in a certain place permanently, although there are those who never return to their country of citizenship. Li (2005) an expatriate is an employee who is sent to work overseas for a certain time in the firm's subsidiary to complete a certain task or to achieve organizational goals. They are usually hired from another country for their technical skills and knowledge in certain areas.

As the globalization of the business world continues with increasingly rapid changes, new trends have emerged in the field of expat management. The costs associated with expatriation are three to four times higher than those of domestic personnel management. The traditional reasons for foreign assignments have gradually been replaced by a more strategic view of expatriation, focusing on the global expertise that expats can acquire and how this knowledge can be transferred to and benefit the parent company.

Because the reasons for deploying expats can change, so can the types of assignments for which they are deployed.

Contract and Expatriate Management System

For expatriate management, concerns may differ over certain aspects of a normal contract, such as contract termination rules, benchmarking practices, approach to compensation, expatriate allowances, pensions and benefits, travel home and relocation, education and accommodation policy and spousal support programs .

Discussions and interviews with HR personnel managing the contract are the key activities to gather information and resources about the system requirements. In this phase, a system flowchart or process diagram is created based on the system requirements. Initially the user interface will be developed and then the actual coding for the interface functionality will be written to complete the prototype.

In this phase, the full prototype of the platform is connected to the SQL database server and the system can first be tested within the local host. If no problems arise, it can proceed to the end user's local drive and install the necessary server so that the user can run the usability test on the system. The prototype model is best for evaluating progress and serves as the most important milestone in this project because it allows the user to personally look at the system during development.

The system itself is a continuation of the previous business process and the initial data of the discussion about the system with the applicant. The cycle was repeated over and over again based on feedback until the system prototype successfully met the requirements. According to Nielsen (1993) the thinking-aloud method allows us to understand how users approach the system and what considerations users have in mind when using the system.

During the test process, users are asked to verbalize and describe their thoughts, feelings while interacting with the system. Discussion is the most common activity that will be done as it will be comfortable for the user as it will give the user more time to know what their needs and requirements are. Additionally, User Acceptance Testing (UAT) will be performed as a user evaluation in many different cases or scenarios.

Training will also be conducted for users to understand how the process and flow of the new system. After project launch and for further project review, the guidance manual will act as a tool to assist HR Staff. For this project, a personal computer will be used as a workstation and demonstrate the prototype system.

The proposed system will focus on the interaction between the end user and the system itself. Function : Shows the user that the system's program is running and working.

4 Search_button Directs the current user to a search form where the user wants to search for specific values ​​in contracts. 5 OtherInfo_button Directs the current user to other information. Purpose: To enable all users to facilitate all the inventories as a whole and to see a detailed view of each of the inventories. 1 Movefirst_button To link back to the first item in the data list 2 Moveprevious_button To link back to previous items in the list.

Purpose: To provide the admin with a simple add new item screen to be added to the inventory and displayed on the inventory screen.
