Rotary International (RI), in conjunction with Experient, has reserved a block of hotels and rooms for attendees use during the convention. All reservation requests will be handled by Experient. Please direct all housing questions and correspondence to Experient (see contact information below).
Reservations will be filled on a first-come, first-served basis. Return your completed reservation form by 17:00 Central Time (GMT minus
five hours) on 10 May 2018. Experient may be unable to fill requests received after this date.
Complete one housing form for each room required. For a block of 15 rooms or more, you may submit an online request through the
link above or submit the Group Housing Form, available at riconvention.org. All efforts will be made to secure a room for you at your
preferred hotel. However, Experient reserves the right to secure alternate accommodations for you if necessary.

Booking for 2018 RI Convention housing begins on 10 June 2017. Confirmations will be issued beginning July 2017. You will receive a confirmation from Experient indicating the hotel name, address, room rate per night, room type, dates reserved, and a reservation acknowledgment number. (Note: This is not the hotel confirmation number.)
All housing changes or inquiries must be made directly with Experient by 10 May 2018. Please refer to your confirmation for full details, which may vary per hotel.
DEPOSITS
All reservations require a credit card guarantee. No reservation will be held without one. Acceptable credit cards are American Express, Visa, and MasterCard. Credit cards will not be charged when the reservation is made. Experient will forward the credit card information to the relevant hotel, and when the hotel has received all reservation details in May 2018, credit cards will be charged for a one night’s room and tax deposit. Should your credit card not be valid or declined, your reservation will be subject to cancellation. Please refer to your confirmation for full details, which may vary per hotel.
CANCELLATIONS/NO-SHOWS/CHANGES
If you need to make changes or cancel your reservation(s), please do so in writing to Experient. Change and cancellation deadlines vary per hotel. Please check your confirmation for the date when final changes and cancellations can be made with Experient. Changes and cancellations after the date specified must be made directly with the hotel or you will lose your deposit. The hotel contact information is provided on your confirmation. All changes are based on availability.
Failure to arrive on the confirmed arrival date will result in forfeiture of the reservation and loss of the deposit to the hotel. Be sure to review the hotel cancellation policy on your housing confirmation for more details.
Because unforeseen circumstances may arise, Rotary International strongly recommends that you purchase travel insurance to protect yourself against losses resulting from cancellation. Travel insurance can be obtained through your local travel agency, credit card company, or insurance company. RI and Experient are not responsible for providing assistance or mediation for hotel cancellation fees.

6. ROOM DEPOSIT
A valid credit card is required to reserve a room. Credit cards will not be charged when a reservation is made, but will be used to guarantee the reservation. Credit cards must be valid through the dates of the Toronto convention and have an expiration of July 2018 or later. Experient will forward the credit card information to the relevant hotel. When the hotel receives all reservation details, they will charge the credit card for one night’s room and tax. Should your credit card not be valid or declined, your reservation will be subject to cancellation.
