Student Management application — new functionality

Purpose

To inform schools about:

• new functionality in the QCAA’s Student Management application, which will hold student enrolment, learning and results in the new Queensland Certificate of Education (QCE) system

• due dates for key processes and data entry requirements.

Background

The QCAA’s Student Management application was launched in March 2018 as part of the

transition to the new QCE system. Beginning with the 2018 Year 10 cohort, Student Management will eventually replace the Student Data Capture System (SDCS) and the Senior Learning

Information Management System (SLIMS)/Registration and Banking System (RABS).

Stage one of the application allowed schools and learning providers to:

• generate Learner Unique Identifiers (LUIs) and create student learning accounts

• register students with learning providers and create intended learning options

• enrol students in QCAA subjects and VET courses

• manage VET results where the school is the RTO.

Information and web links

Stage two of Student Management is now available. In addition to minor bug fixes and cosmetic enhancements, stage two includes the following functionality.

For schools

• Set up subject offerings, including alternative sequence

• Principal approval of subject offerings

• Notify the principal to approve subject offerings that are different from the prescribed syllabus timing or sequence

• Enrol individual or multiple students in subject offerings via the user interface or file import

• Search for students via their subject offering enrolments

• Remove subject offerings (where no student enrolments exist)

• Remove enrolments from a student’s learning account (this functionality will be enhanced for 2019 to cater for enrolments where learning has been undertaken and a result may be required)

For school and non-school RTOs

• Search for students via their VET qualification or competency enrolments

• Update VET enrolments and results via the ‘Results’ menu

Access and support

Student Management is accessed via the QCAA Portal at www.qcaa.qld.edu.au/portal and will appear as a tile for users assigned the Student Management Administrator role. Access

Management Organisation Administrators should assign the Student Management Administrator role to appropriate staff. School leaders seeking access to alternative sequences, or additional access for teachers and subject leaders, should contact [email protected].

Due dates for data entry will be in early 2019, as noted in the draft 2019 SEP calendar at www.qcaa.qld.edu.au/senior/certificates-qualifications/sep/sep-calendar.

What you need to do

• Ensure your school or RTO uses Student Management for the 2018 Year 10 cohort and future cohorts.

• Ensure staff are aware of the new functionality in Student Management and the due dates for processes outlined in the draft 2019 SEP calendar.

• Continue to use SDCS/SLIMS for the 2018 Year 11 and Year 12 cohorts.
