CHAPTER I INTRODUCTION

1.1. Background of the Apprenticeship

Apprenticeship is supposed to do in organizations that proper to the student's background. Apprenticeship has become a chance for students to implement the knowledge that acquired at campus into a real workplace.

Apprenticeship provides the students with work experience and job training from specific companies and agencies. The job training model is intended to be available to become a skilled workforce for the construction and manufacturing industries. It also aims to provide work experience as well as new skills, which can be useful for the future and also gives a lot of experience and knowledge for students. Also, a successful apprenticeship will build a great achievement in workplace.

Then, it is a type of applied science that helps students to developse practical knowledge, management skills, and adaptation ability. On the apprenticeship usually uses the existing workplace tools, machines, documents, equipment and knowledge to teach astudent how to effectively do their job. Then, Students will obtain knowledge through theory and practice during the apprenticeship process. Practice is a way for students to improve their theoretical skills in the workplace.

Moreover, State Polytechnic of Bengkalis is one of educational institutions in Riau Province. This polytechnic has eight departments, one of them is Language Department. Language Department provides a learning experience and training with this program to build the professional capabilities in science and technology for all students at State Polytechnic of Bengkalis. Thisprogram is also

their student to progress in career quickly. For this reason, the writer chosen and got an opportunity to do apprenticeship in APRIL Learning Institute (ALI) at PT.

Riau Andalan Pulp and Paper (RAPPP).

The apprenticeship program has done from May 09th until July 15th, 2022 as an Keeping ALI’s Library staff in April Learning Institute (ALI), then at the ALI Office of L&D Support Department and Assessment Center Department. It was chosen because in PT. RAPP Exactly in ALI is a part of APRIL Group which is a center for training and human resource development in both soft skills and technical skills. Furthermore, writer can implement her communication skills, time management, and also improve knowledge about workplace.

1.2. Purpose of the Apprenticeship

The purposes of the apprenticeship are as follow:

1. To find out kinds of jobs, working procedures, and business processes done in PT. Riau applied in PT. Riau Andalan Pulp and Paper

2. To implement the theories learned in campus into a real practice in the workplace.

1.3. Significances of the Apprenticeship 1.3.1. Significances for the apprentice

Apprenticeship gives a chance for the apprentice to implement knowledge that already learnt and get knowledge especially related to English and Business. The apprentice knows how to speak in public, attract people attention and implement the interpersonal skills.

1.3.2. Significance for State Polytechnic of Bengkalis

Apprenticeship helps Polytechnic to prepare skillful alumni that are ready to work field once they finish the study. Therefore, the apprenticeship helps polytechnic applying and arranging its curriculum.

1.3.3. Significance for the Company

Apprenticeship gives April Learning Institute a chance to promote

its image and upgrade the branding of the company. In addition, it is easy for April Learning Institute to find and hire co-workers and experienced employees because the practical students have had experience working in the company.

CHAPTER II

GENERAL DESCRIPTION OF THE COMPANY

2.1. Company History

Asia Pacific Resources International Holdings Ltd (APRIL), is a member of Royal Golden Eagle (RGE) Group which was founded by Sukanto Tanoto in 1973. RGE Group has grown into a global group employing more than 60,000 people, with assets totaling more than US$25 billion and worldwide sales reach.

Now, RGE has more than 80 companies in national and international.

APRIL Group embraces of 5C's: that is good for Community, good for Country, good for Climate, good for Customer and good for Company.

Accordingly, corporate social responsibility is woven into APRIL Group’s operations and management to advance environmental and community development and to fulfill the social responsibilities of a corporation.

Through its subsidiaries in Indonesia, APRIL Group began plantation development in Sumatra’s, Riau province and mill construction at Pelalawan Kerinci from 1993. The company name is PT. Riau Andalan Pulp and Paper. It is located on Pangkalan Kerinci, Pelalawan Regency, Riau Province.

APRIL Group implemented a comprehensive wood legality system that prevents illegal wood from entering the supply and production chains in 2002.

The system verifies and traces wood from the company’s fiber plantation through to the mill site. APRIL Group also collaborated with World Wildlife Fund (WWF) to address illegal logging in Tesso Nilo and inked a moratorium on further road building and Acacia plantation development in the Tesso Nilo area. In the same year, APRIL Group achieved ISO 14001 certification for all its fibred estates and pulp and paper mills.

In 2003, a decade after the company was established, APRIL Group published its first Sustainability Report, uniting the story of its community development initiatives alongside its commitment to sustainable forestry operations. In the same year, APRIL Group set up a Guangzhou branch to support growing operations in China.

Pangkalan Kerinci became Indonesia’s largest producer of labor in the Pulp and Paper Industry. This is due to the establishment of the APRIL Learning Institute (ALI) in 2002. That is APRIL Group’s center for employee training and

ALI's mission is to "grow talent, grow tree" which means that through the APRIL Learning Institute, quality employees are produced. In this years, APRIL Group received Green Proper Rating for environmental performance of mill as well as the Golden Flag Awards & Zero Accident Award for health and safety management at the mill from the Indonesian Government.

APRIL Group became a signatory to Principles of the UN Global Compact. In the same year, PT Riau Andalan Pulp & Paper (RAPP), a subsidiary of APRIL, was certified for Sustainable Plantation Forest Management (SPFM) under the Indonesian Eco label Institute’s (LEI) standards.

It was successfully re-certified under SPFM-LEI again in 2011 for a further five years.

The 2008 completion of Pulp Line 3 made Riau home to the largest integrated pulp and paper mill in the world, with a production capacity of 2.8 million tons per annum. The certified ISO 9001:8000 and ISO 14001 mills continued to invest in technology to ensure self-sufficient energy generation.

Then, APRIL Group’s production facilities have been certified under the Program for the Endorsement of Forest Certification (PEFC) Chain of Custody standards, ensuring that all raw materials coming into the mill are supplied from legal and from non-controversial sources. APRIL also received certification from Hong Kong Green Label for its PaperOneTM product in 2010.

In October 2011, RAPP, a subsidiary of APRIL, was successfully certified by Bureau Veritas’ standards for Origins and Legality of Timber (OLB), the first industrial plantation company in Asia to receive this certification. APRIL Group’s OLB Standards for Forestry Companies certification covers its forestry operations and production facilities. RAPP’s supply partners also successfully passed audits under OLB ‘Chain of Custody- Acceptable Wood’ Standards.

2.2. Company Logo

APRIL Group began plantation development in Sumatra’s, Riau province and mill construction in Pangkalan Kerinci, Pelelawan Regency. It is PT. Riau Andalan Pulp and Paper (PT. RAPP). PT. RAPP is a company engaged in pulp and paper sector.

PT. RAPP has a logo that contains two colours, that is blue and green colours and has a symbol of leaf. The blue colours means energy effeciently and the green colours means renewable resources. Also, the symbol of leaf means April has a sustainabe business with plantations. Here is the company logo:

2.3. Vision and Mission 2.3.1. Vision

“To be one of the largest, best-managed, and sustainable resource-based groups, creating value for the Community, Country, Climate, Customer, and Company”.

Other missions included:

a) Implement and maintain ISO 9001-based quality management system.

b) To achieve continuous quality improvement, create and specify realistic quality goals, target descriptions, and implementation responsibilities.

c) Gather accurate information from clients on the products and services provided.

d) Ensuring that all employees in the areas will responsibility, understand and apply policies.

e) Always do the right thing.

2.3.2. Mission

c) Improving associated parties' business performance by participating and contributing to regional and national socio-economic development

Then, PT. RAPP has TOPICC as some of core value’s company. There are:

2.4. Kind of Business

There are five kinds of business in PT. RAPP which are follows:

1. Riau Fiber is a unit that oversees the seeding, planting, maintenance, and felling of wood in order to raw materials and generates wood seeds.

2. Riau Pulp is a pulp-making plant that uses Riau Fiber as a raw material.

3. Riau Paper is a unit that manufactures paper from Riau Pulp.

4. Riau Power is a unit that manages the power generation and reprocessing black liquor, water, and chemicals.

finance, HRD, accounting, IT/IS, security, Transportation, and April Learning Institute (ALI).

PT. RAPP produces pulp and paper, provides training and development for employees, and so on. The main products of PT. RAPP are BAKP (Bleached Acacia Kraft Pulp) and UCWF (Uncoated Wood Free Paper), which are commonly used in printing and photocopying, ranging from 55 gsm to 150 gsm.

The brands of paper produced in PT. RAPP are Dunia Mas, Copy & Laser, Lazer IT, ZAP, Ixora, PPLite, Excellent Copy Paper, Perfect Print, and BMO (Bright White Multi-Purpose Office). Superior products at PT. Riau Andalan Pulp and Paper are a brand of PaperOne™.

2.5. Organization Structure

Organizational structures enable businesses to maintain efficiency and focus. An organizational structure is a system that defines actions to achieve an organization's goals, including rules, roles, and responsibilities. For example, in a centralized structure decision is made from the top-down, whereas in a decentralized structure decision-making authority is shared among several organizational levels.

a. Mill Operational Manager/OM

The Mill Operational Manager has the duties and responsibilities to make the strategic operational decisions at the factory and carry out smooth operations and administration. MO with six managers work to implement operational policies.

b. Finance Manager

The Finance Manager has duties and responsibilities in coordinating financial reports or all of value of goods, both in production and non- production, as well as serving the departments and employees finance.

c. Procurement Manager

The Procurement Manager is in coordinating the smooth operation of factory production activities such as supplying spare parts and material storage (logistics).

d. Personal and Administration Manager

Personal and Administrative Manager has duties and responsibilities to following sections:

- General Service,

- Personal administration - APRIL Learning Institute - Security

- Transportation, and - Health care clinic e. Technical Manager

Technical Manager Coordination of the following sections:

- Research

- Process and product development - Customer service

- Operation, and quality products f. Production Manager

Production Manager has coordinating duties and responsibilities for the following parts:

g. Maintenance Manager

Maintenance Manager has duties and responsibilities in coordinating factory selection, such as:

- Engineering Department

- Civil and Construction Maintenance - Electrical Maintenance,

- Instrumentation Maintenance

At PT. RAPP, the superintendent oversees the several departments with the help of a deputy assistant superintendent and a superintendent area. The superintendent has a responsibility to oversee administration in his domain, including setting up technician timetables. PT. Riau Andalan Pulp Paper also has supervisor to supervise, assist, and plan the work carried out by the technician.

These supervisors hold meetings to discuss the smooth running of the production process, to increase production capacity, and to discuss and resolved the problem.

2.6. Document Used for Activity

To manage the activities, there are several documents which used in APRIL Learning Institute (ALI):

a. Training Records

Training records is a document that serves to keep a record of the employee who will join training in ALI

b. Module Training

Module training is a specific document training focuses on material/topic that will be learn.

c. Handling Checklist Book

Handling Checklist Book is a book that used to check the details of training, such as trainer data, rooms, mentor, etc.

d. Intray

Intray is a document that gathers email/letter and whatsapp message about information or problem/conflict.

CHAPTER III

SCOPE OF THE APPERENTICESHIP

3.1. Job Description

The apprenticeship program started on May 09th, 2022 until July 15th, 2022 at APRIL Learning Institute, PT. RAPP. The working hours divide into two shifts.

On Monday until Friday at 08:00 am to 05:00 pm, Saturday at 08:00 am to 12:00 am and also breaks at 12:00 am to 01:30 pm.

There were kinds of main jobs during the apprenticeship of each department which are follows:

3.1.1. Library Administration

Library Administration is managing the performances of the operation and other activities in ALI’s Library. The usual activities are input borrowing/returning books data and make the resumes.

3.1.2. Learning Support Department

There were kinds of jobs done in Learning Support Department as follows:

a. Inputting Training Records Data in Workday

Workday is a software that specializes in human capital management and financial management applications.

b. Making Room Handling Over Checklist Book

Room Handling Over Checklist Book is a book that used to check the training room reserved.

c. Intern Data Entry

Intern Data is personal information of intern that used for the detail of contract worker.

3.1.3. Assessment Center Department a. Audio Bathin

Audio Bathin is made the dialog transcript of discussion/presentation or interview.

b. Intray

Intray is written email/letter or whatsapp message for employees about problem/conflict or any information

3.2. Working Procedure

There were several working procedures during the apprenticeship program at each department. The procedures are as follow:

3.2.1. Library Administration

Library Administration handles internal and external administrative matters for the libraries, assesses needs, input borrowing/returning books data, making resumes, providing managerial leadership, finance, fiber, economic, computer and others, also direction of the overall operations in ALI’s library.

There are some procedure to make borrowing/returning books data. The steps can be seen in the workflow below:

3.2.2. Learning Support Department

a. Procedure of Inputting Training Records Data in Workday

Workday is a software system used for planning in areas such as human capital management (HCM), professional services automation, project management, finance, analytics as well as professional services automation. Also, it used to input attendance, training schedule and other training data needs.

There are steps to inputting training records data in workday such as:

b. Procedure of Making Room Handling Over Checklist Book

Handover is a book that helps employees/trainers to check the schedule, training room, trainers, and team members effectively. Then, it is the accurate reliable communication about training information to ensuring continuity of safe and effective working.

c. Procedure of Intern Data Entry

Data entry is a work that uses various processes like typing and voice recording to put the data into computers. It is used in each department in the APRIL Learning Institute office, one of them in the Learning Support Department. Entry Data processes the Interns information by retrieving internal data and entering them into a computer system as a company archive.

There are some steps to intern data entry, such as:

3.2.3. Assessment Center

Assessment center is a method that company use to identify management potential and determine employee suitability for higher functional positions. It is usually used as a tool to evaluate employee personality traits and abilities. Then, assessment center is a process to suitability for specific types of employment.

company employee and deal with the workload of a typical day, in the form of emails, reports, meeting requests and so on. Its needs to know the time efficiently, priorities workload, identify key issues and resolve problems.

3.3. Place of Apprenticeship

The Apprenticeship was started from May 09th, 2022 until July 15th, 2022. It was done at PT. Riau Pulp and Paper as a student practical in APRIL Learning Institute.

CHAPTER IV

CONCLUSION AND SUGGESTION

4.1. Conclusion

After doing apprenticeship program in April Learning Institute, PT. Riau Andalan Pulp and Paper, there are several conclusions as follows:

1. There are some kinds of job done during the apprenticeship program;

inputting data in workday, inputting business email (intray), making transcript of interview audio(audio bathin), making handling over checklist book, intern data entry, entering borrowing/return books data, and audit room. Then, the working procedures are based on Standard Operating Procedure (SOP) of PT. Riau Andalan Pulp and Paper.

2. After doing the apprenticeship program at PT. Riau Andalan Pulp and Paper, several subject materials acquired in campus such as; business writing, business communication, management, speaking, reading, listening, and etika profesi are applied in real practice such as; handling business emails, communication skills, receptionist, and handling telephoning.

4.2. Suggestion

It is suggested to State Polytechnic of Bengkalis to provide a longer time for the apprenticeship program to give proper access for the student to acquire more knowledge and experience in the company.
