The closing meeting was held in the Meeting Hall of KUD Karya Mandiri, where the chairman of the association, farmer members and other relevant personnel participated. KM-MM 4 /01, Field observation and interview regarding best practices, legality, environment and certification implementation. MUTUAGUNG LESTARI conducted an assessment of the performance of KUD Karya Mandiri, which consists of 275 smallholders and 313 land parcels / lots. MUTUAGUNG LESTARI found that KUD Karya Mandiri meets the requirements of RSPO Independent Smallholder Standard, November 6, 2019 and RSPO Certification Systems for Principles & Criteria and RSPO Independent Smallholder Standard, which were approved by the RSPO Board of Governors on November 12, 2020.

SOP No 2/SOP/ICS/KUD-KM/XI/2020 dated 05 November 2020 regarding the admission of RSPO members, the procedure explains the assessment process, before any potential member joins the RSPO Certification. Based on the review of documents and interviews with KUD leaders, it was known that not all members of KUD Karya Mandiri have joined the RSPO Certification Programs, this is because currently this program is voluntary and there are some members who they don't want to join for some reason. Together in advance with the RSPO certification process, the Internal Audit, Registration and Complaints Division has verified the completeness of supporting documents such as ID Card, Photo, legal land documents, commitment and willingness documents for joint RSPO programs, etc.
KUD Karya Mandiri can show the verification process to prospective members before joint RSPO certification programs. Based on interviews with the small farmers and field observation on their land parcel, they understood the membership requirement and consequences in RSPO certification, such as aware of membership requirements, such as requirement to be a member, internal audit process, sanction for SOP violation as well as as benefit and benefit joint RSPO Certification.
The Group Manager is responsible for managing the Group for certification .1
KUD Karya Mandiri has established an Internal Control System (ICS) organization for both operational management and job responsibility. The group manager, as well as the official of KUD Karya Mandiri, received the RSPO training from SNV on October 30, 2020 and November 24, 2020. KUD Karya Mandiri can show the 2021 training plan document included in the KUD Karya Mandiri ICS 2020/ 2021 capacity building work plan.
FPIC training for ICS KUD Karya Mandiri team on November 25, 2020 attended by 17 participants. Based on the results of the document review and field visits, it is known that KUD Karya Mandiri has a training plan and training implementation covering PKM, HCV, Waste Management, Occupational Safety, Fire Prevention and other supporting training.
The group Internal Control System contains documented policies and procedures for operational management
The Internal Audit Mechanism established in the Internal Audit Procedure (No. 12/SOP/ICS/KUD-KM/XI/2020 dated 05 November 2020) the purpose of this procedure is to ensure that all members of the certification program RSPO and KUD Karya Mandiri has been ready and met all the RSPO indicator for Small Independent Owners. The internal audit is carried out in several stages until all members are 100% audited and coordinated by the Internal Audit Divisions. However, in the Internal Audit Procedure (PSO No: 12/SOP/ICS/KUD-KM/XI/2020 regarding the Implementation of Internal Audit) it is stated that the internal audit period must be adjusted and within 5 years all members who join the RSPO certification process have passed the internal audit at least 1 time process.
The achievement of internal audit is described in Milestone A summary in which internal audit has been carried out on all members during the period December 2020 – February 2021. In this regard, KUD Karya Mandiri is encouraged to re-evaluate the procedures related to internal audit, whereby all groups of members (including newly joined members) have undergone an internal audit (OFI) at least once a year.

Group managers can show internal audit documents that have been conducted to ensure that all members follow and implement existing standards. Internal audits are carried out in several stages until all members are 100% audited and coordinated by the Internal Audit Divisions. A preliminary internal audit carried out, the internal audit divisions will create an audit checklist, moreover the internal audit divisions will ensure that the internal auditors do not audit their works (farmer groups).
During the internal audit, there are several non-compliances regarding the RSPO standards for independent smallholder farmers, such as several members not knowing the legal documents of KUD Karya Mandiri, farmers not properly recording harvesting activities, and so on. An interview with the group manager got information when the internal audit split into different phases become more effective and optimize the available resources.
The group has a procedure and system in place for the tracking of FFB
KUD Karya Mandiri can show evidence of periodic monitoring of the plans that have been implemented in management and monitoring reports, from recording production data, training, sales and other implementation according to the plans that have been made. The prepared plans have been reviewed periodically in the management review (conducted after an internal audit) or in the annual KUD Karya Mandiri membership, which was most recently conducted on March 20, 2021.

Smallholders have capacity to effectively manage their farm
KUD Karya Mandiri can show documentation of training on plantation management, monitoring and planning, which includes training on. KUD Karya Mandiri can demonstrate effective plantation management and good management of production data records, this is evident from the production data for the last 2 years which have increased production, the production data was manually recapitulated and collected every 10 days and monthly. This data is visible on the production board, which is kept in the office of the cooperative, and in addition, the monthly production data is duly recapitulated in the form of digital records (soft file).
Based on the assessment of the KUD Karya Mandiri document, each member can present the GAP Implementation Commitment Document included in the RSPO Certification Commitment KUD Karya Mandiri Declaration Letter signed by each member. KUD Karya Mandiri completed the GAP training for all farmer members and facilitated it by AHI.
ENSURE LEGALITY, RESPECT FOR LAND RIGHTS AND COMMUNITY WELLBEING 2.1
Smallholders have not acquired lands from indigenous peoples, local communities or other users without their free, prior and informed consent, based on a simplified FPIC approach
The small farmers have a declaration of land ownership which also informs about a map of the land. Based on interviews with farmers, the Group Manager, Village Head and Plantation Agency obtained information whether KUD Karya Mandiri land originated from Transmigrasi Swakarsa Mandiri / Self-Directed Transmigration which started on 18 August 1994 with the participants from Province Jawa Tengah, Jawa Timur , Lampung, Jambi (Local Transmigration). In 2009, there is blossoming (pemekaran) of Village of Petaling Jaya, and this area became the Village of Trimulya Jaya, it is due to the blossoming of the village, KUD Karya Mandiri ar established in Village of Trimulya Jaya with the members of KUD are former KUD Margajaya members domiciled in Trimulya Jaya Village.

RSPO – 4006a Page 79 KUD Karya Mandiri may present a document of commitment not to use fire during land preparation, pest control or waste management from any member as contained in the KUD Karya Mandiri RSPO Certification Commitment Declaration Letter. Meanwhile, based on the results of interviews with the Plantation & Forestry Service, the Muaro Jambi Regency Environmental Service and village representatives, it is known that there has never been a fire in the KUD Karya Mandiri area so far.
Riparian buffer zones are identified and managed to ensure they are maintained and/or enhanced
KUD Karya Mandiri has completed the river buffer zone management training included in the HCV zone training which was held on January 25, 2021. Based on the results of the field visit to the Trimulya Farmers Group 1, it is known that the planting activities HCV tables have been carried out and installed. KUD Karya Mandiri already has a commitment statement for the use of the Spraying Unit Team and the reduction of banned Herbicides on September 15, 2020, which has been agreed by all the Farmers' Group Leaders.
The implementation of the use of the Injection Unit Team has been carried out since February 2021. KUD Karya Mandiri has maximized the use of the IPM approach to minimize the use of pesticides and herbicides in its plantations.

In this regard, KUD Karya Mandiri is encouraged to re-evaluate the procedures related to internal audit where all group members (including newly joined ones) have performed internal audit at least once a year. Currently, KUD Karya Mandiri has not yet received the RSPO Certificate and will be verified in the next assessment.
