Summary of Assessment Report of the RSPO Certification
There is written policy that commits to code of ethical conduct and integrity: refer Code of Business Conduct Updated: December 2011 approved by: Dato Mohd Bakke Salleh which includes the ethics of. A legal register covering the applicable local and international laws and regulations is available from the mills and estates. Based on document verification, field visit observed and stakeholder consultation showing that there is no land dispute issue.
There is an implemented management plan aimed at achieving long-term economic and financial viability. The water management plan was available to provide clean water to staff and workers. Water quality was maintained by the river reserve, where there is a clear policy and manual for the water quality plan. Proper training was provided to management staff and workers handling integrated pest management (IPM).
The issue related to safety and health was discussed during the meeting and the appropriate action plan for the outstanding issues was observed. Fire drill training conducted at the mill and property to improve staff and worker awareness of emergency handling.

Waste is reduced, recycled, reused and disposed of in an environmentally and socially responsible manner. The document of the Waste Management Action Plan for the Year 2015/2016 was available and was observed by the auditor in each property. At the mill monitoring of renewable energy and oil usage (L) for CPO and FFB (MT) produced are recorded and tabulated on a monthly basis.
Use of fire for waste disposal and for preparing land for replanting is avoided except in specific situations, as identified in the ASEAN guidelines or other regional best practice
There is no smallholder in Lavang and Kelida Estate, however the management of the estate pays attention to a positive and negative impact on internal and external stakeholders have been identified as improving living standards and increasing health, educational facilities and cultural values and religious. An issue covered in the SIA report are Safety (Health and Education Facilities), Pollution Issues, Trade Union, Border Issues, Foreign Workers and Social Security Issues. There is a social management plan based on the SIA that has been carried out. The results of the meeting of the interested parties are documented in the Social Management plan and all issues are listed and the solution is documented with the Responsible Persons.

Sime Darby is directly employed by the foreign workers and the contract agreement is signed when the workers reach the estate. There are no restrictions on employees leaving the estate and housing facilities outside of working hours. There are also registration books (Rekod Passport Keluar Masuk) for foreign workers of Lavang Estate, registrations of incoming and outgoing passports.
Based on the interviewees, there is no contract substitution at Lavang Estate from the foreign workers. Based on information areas cleared without prior HCV assessment since November 2005, there is no cleared area during this period.

A comprehensive and participatory independent social and environmental assessment is undertaken prior to establishing new plantations or operations, or expanding existing ones, and the results are incorporated into planning, management and operations. Soil surveys and topographic information are used for site planning in establishing new plantings, and the results are incorporated into plans and operations. New plantings since November 2005 have not replaced primary forest or any area needed to maintain or enhance one or more high conservation values.
A letter was observed on September 30, 2014, issued by Sabarinah Marzuky (Head of RSPO & Certification Unit PSQM Department, Sime Darby Plantation) to the RSPO Secretariat regarding the progressive submission of land use change analysis results for areas cleared without prior HCV assessment since November 2005. No new plantings are made on local people's lands without their free, prior and informed consent. This is done through a documented system that enables indigenous peoples, local communities and other stakeholders to express their views through their own representative institutions. Growers and millers regularly monitor and assess their activities and develop and implement action plans that enable demonstrable continuous improvement of key activities.

Summary of Assessment Report of Supply Chain Requirement
S-4 Lavang Palm Oil Mill has a record of actual produced tonnage of CPO and PK (RSPO certified). S-4 The Palm Oil Mill only makes claims regarding the use of or support for RSPO certified palm oil that is in accordance with the RSPO rules for communication and claims. The S-4 Lavang Oil Mill (SOU 31 Sime Darby) has a work procedure as a guideline to ensure the implementation of all the necessary elements.
This procedure is a Standard Operating Procedure for the RSPO Supply Chain Traceability and Certification System (SOP No. 1 Revised March 2013). The responsible person appointed to ensure the operation of the mill based on the applicable procedure is the Assistant Engineer of Lavang Oil Mill also as the RSPO/ISCC representative for the Palm Oil Mill under the terms and conditions of the Sime Darby Plantation of Mill Management Quality System (MQMS). S-4 Lavang Palm Oil Factory had a fruit receiving mechanism by the driver to show the FFB Bill of Lading from each SOU 31-Sime Darby Nuclear Estate (FFB certified) and FFB Dispatch Chit (FFB not certified) from another source.
S-4 The Lavang Oil Mill has a monthly summary of sustainable FFB, CPO and kernel and was recorded on a quarterly basis. Since the annual surveillance audit (ASA 3) to ASA 4, there has been no demand or transaction of RSPO certified products in the Lavang Palm Oil Mill.

From this assessment, SDPSB has successfully certified all their factories, except for one, which has been audited and is awaiting certification. The group has a common human resources policy which is also extended to all operating units. Examples: The latest revision of the Group Employee Handbook, May 2014, explains to employees their benefits and company rules.
Matters related to employees is that all operational units are monitored on a monthly basis and reported through the monthly Plantation Management Committee (PMC) Meeting attended by department heads. For example: PSQM monitors HR and social issues with the help of the internal audit team and reviewed by the PSQM Head of Department. Legal ownership of land and its land use is available to all operating units and is demonstrated through relevant land titles.
The procedure, under the SPMS manual, "Complaints and Grievances, Annex 5", is made available from the head office and cascaded to all operating units. On a monthly basis, the reports are shared with the head of social and environmental project units under PSQM and reviewed during the monthly PMC meetings.

There is a suggestion from the school management whether Sime Darby can help improve the school's facilities, especially for OKU. There is a request submitted to the management of Sime Darby for 2014. There is a contractor who has a contract with Sime Darby (Lavang POM) and who is satisfied with the payment of the contract.
They thank Sime Darby for keeping the environment peaceful and people's safety was ensured inside the company, no burglary and thief. Sime Darby made greater efforts for the safety of workers at work and they thanked the management for the precautions taken. Estate has no budget to deliver the gas station and Kedai Rakyat 1Malaysia/Sime Darby grocery at Desa Lavang.
There is also a proposal to supply Kedai Rakyat 1 Malaysia / Sime Darby grocery store to standardize the price of goods and groceries. Thanks to the Sime Darby management for providing space for selling the various needs of the workers.
