ST-2 Number of units in this certification activity is 2 estates, which supply the raw materials (FFB) to Maokil palm oil mill. In carrying out the assessment, the team of auditors used the 0.8√y formula to determine the management unit sampling to focus on and also considered the issues raised by stakeholders. Based on this formula, the team of auditors determined that the sample locations are One Palm Oil Mill (Maokil POM) and Two Estates (FGVP Maokil 6 Estate and FGVP Maokil 7 Estate).

There is a list of stakeholders listed at each estate and mill (Maokil POM, Maokil6 and Maokil 7) and the list has been approved by the manager of each estate and mill. Record of request information related to incoming and outgoing letters from internal and external stakeholders was maintained in the record book of incoming and outgoing letters. The communication of policy was done on morning call and displayed on the notice board at the residence area.

Based on field observation on replanting areas in Field PR17Z Maokil 6 Estate and Field PR17Q Maokil 7 Estate, it was found that replanting was carried out on 100% mineral soils by mechanical method (zero burning). Based on field observation and interview with FFB Grader in Sorting Station, Loading Ramp Station, Processing Stations (Sterilizer, Thresher, Kernel), Power Station, Boiler Station and Biogas Plant Station in Maokil Mill, it can be concluded that all technical processing activities implemented in accordance with the procedures. Based on field observation to Maokil 6 and Maokil 7 Estates, it could be concluded that road conditions in both Estates were considered satisfactory and easily passable for fruit extraction.

Based on information from estate management, verification on soil map and field observation, it could be concluded that there was no presence of peat soils within estate operational areas. Based on records of pesticide use in 2017 for Maokil 6 and maokil 7 Estate, it can be concluded that there are no pesticides listed in WHO Appendix 1A and/or listed in Stockholm or Rotterdam. Furthermore, based on pesticide use record in Maokil 7, it was known that there is no use of Paraquat.

Based on field observation and information from property management, it was reported that there were no aerial pesticide applications. Based on the list and field observations, it is known that there are no female workers who deal with pesticides. Based on the site visit to the property and mill and interviews with personnel, it is known that the management unit has provided PPE for personnel.

Based on field observations and stakeholder interviews, no evidence of HCV and RTE was observed.

Sources of assets: Oil consumption, uses of agrochemicals, uses of chemical fertilizers, household organics and others; Mitigation plan: monitoring, recording and analysis of oil consumption for FFB transport, reduction of pesticide use (liter/ha) through biological control, reduction of fertilizer use through application of by-products, monthly basis of household waste management, separation of waste (organic and non-organic) and non-incineration in waste management, paperless implementation (rim/month), registration in recycling (kg/month) and training for the relevant worker.

Mill resources: Boiler, uses of electricity, uses of Diesel, uses of lubricant, final discharge, waste water treatment plant, compost and empty fruit bunches. Mitigation: Monitoring and control of emission through maintenance, reduction of electricity consumption, reduction of diesel consumption, reduction of lubricant consumption, soil application and EFB mulching. Calculation of GHG emission and its monitoring was carried out by the Department of Sustainability and Environment (SED), unit of Certification Due Diligent (CDD).

The management of FGV Maokil mill and property had monitored the management plan for the Social Impact Assessment 2016/2017 based on input from stakeholders (workers and community/small farm member). The company had made and analyzed social impacts in the estate, which includes the positive and negative aspect in FGV Maokil. Summary of the assessment of the impact had been carried out in emergency, short term, medium term and long term.

Plans are developed in the management plan to reduce the impact on the necessary action plan, e.g. The evaluation of the social impact management plan has been done annually, the last evaluation was April 2017. Certification. There are open and transparent methods for communication and consultation between growers and/or millers, local communities and other affected or interested parties.

List of stakeholders dated January 2017 is available in the list of identified internal and external stakeholders such as government agencies, schools, contractors, auxiliary police and head of villagers for FGVPM Maokil 6, FGVPM Maokil 7, and Kilang Sawit FGVPM Maokil. Seeing “Prosedur Komunikasi, Penglibatan dan Rundingan” No Doc.: ML-1A/L2-PR3(1) dated March 2012 has a detailed open and transparent method for communication and consultation between estate/mill and interested/affected parties. A stakeholder meeting "Majlis Perjumpaan Bersama Pihak Yang Berkepentingan/Stakeholders" was held on 5/10/2017 which was attended by government agencies, contractors, head of villagers, schools and other identified parties.

According to the minutes of the meeting, all identified interested parties were briefed on the Standard Operating Procedure (SOP) and Policies for communication and consultation.

Based on the interview conducted, employees are aware of the communication procedure and to whom they should file a complaint. They also know who to contact if they have a problem or complain about the operation and management of the company. The management unit also prepared a report regarding any employee complaints. Based on the document verification, most of the complaints and reports are related to repairing broken houses. But the company must ensure the consistency of the implementation of documented complaints and grievances regarding the employees and stakeholders OFI 7.

No discrimination was found against the employees on the basis of gender, religion, race, country or the like; all employees (local or migrant) were subject to the same payments and working conditions. Management contributes to the community around the Maokil complex. There is also corporate social responsibility for Maokil 6, such as transportation to the school by van.
